Purpose

The Grants Manager will provide operational support for the Trust's grantmaking functions, ensuring accurate, compliant, and efficient grant administration across the full lifecycle. This role serves as the primary systems manager for grant operations and works in close coordination with Programs and Finance staff.

Scope of Services

1. Grant Administration & Compliance

  • Support program team in the process and tracking of grant applications, agreements, amendments, extensions, and supporting documentation within the Trust's grants management system (GMS) - SmartSimple
  • Support program team in monitoring reporting requirements and maintain a tracking system for overdue reports and pending payments
  • Coordinate with Programs and Operations staff to resolve compliance questions or documentation gaps

2. Systems & Workflow Management

  • Serve as the primary administrator for SmartSimple, providing technical support and guidance to internal users
  • Develop and deliver simple training for staff on grant systems, policies, and process updates
  • Identify opportunities to streamline workflows and improve technology tools supporting grantmaking
  • Lead or support implementation of system enhancements and process improvements

3. Data Management & Records

  • Maintain organized, confidential grant records in accordance with Trust policies in the GMS
  • Collaborate with VP of Programs on data preservation, retention, and migration practices
  • Generate reports and dashboards to support compliance tracking, internal decision-making, and leadership updates

4. Organizational Support

  • Provide coordination support across departments as it relates to grant operations
  • Assist with special projects tied to grantmaking operations, compliance, or strategic initiatives
  • Document internal processes and maintain up-to-date procedural guides

Term

This agreement shall be effective from June 2026 through June 2027, with the option to renew upon mutual agreement.

Hours & Availability

The Grants Manager will work approximately 5-10 hours per week, with scheduling flexibility to be determined in coordination with the VP of Programs. Core availability during standard business hours is expected for internal coordination and meetings.

Consultant is engaged as an independent contractor and not as an employee of Client. Consultant shall be solely responsible for all federal, state, and local taxes, including income taxes, self-employment taxes, and any other applicable obligations arising from compensation paid under this Agreement. Client will not withhold any taxes and will issue a Form 1099, as required by law.

Deliverables

Grant tracking and status reports: Weekly or as requested

Compliance monitoring updates: Monthly

System training sessions for staff: As needed

System improvement recommendations and workflow testing: Quarterly

Dashboard updates for leadership: Monthly or as requested

Performance Standards

  • Timely and accurate processing of all grant-related documentation
  • Maintenance of current and organized grant records
  • Responsive technical support for internal users
  • Proactive identification of workflow improvements
