Job Summary:
The Guest Service Executive is responsible for delivering exceptional customer service to patients and visitors by managing front desk operations, handling inquiries, coordinating appointments, and ensuring a smooth and pleasant experience within the facility.
Key Duties & Responsibilities:1. Front Desk Operations
- Greet and welcome patients and visitors in a professional and courteous manner
- Manage check-in and check-out processes efficiently
- Maintain reception area cleanliness and organization
2. Appointment Management
- Schedule, reschedule, and cancel appointments as required
- Coordinate with doctors and medical staff regarding patient bookings
- Ensure no overbooking or scheduling conflicts
3. Patient Coordination
- Assist patients with registration and documentation
- Guide patients to respective departments or consultation rooms
- Handle patient queries regarding services, timings, and procedures
4. Customer Service Excellence
- Address patient concerns and complaints promptly and professionally
- Ensure a high level of patient satisfaction at all times
- Maintain a polite, empathetic, and helpful attitude
5. Administrative Tasks
- Maintain accurate patient records and data entry in the system
- Handle phone calls, emails, and walk-in inquiries
- Manage billing coordination or direct patients to the billing department
6. Communication & Coordination
- Coordinate with internal departments (nurses, doctors, insurance team)
- Inform patients about delays or changes in schedule
- Assist in internal communication for smooth daily operations
7. Compliance & Confidentiality
- Ensure patient confidentiality is maintained at all times
- Follow company policies, healthcare regulations, and SOPs
Required Skills & Qualifications:
- Bachelor’s degree or relevant experience in customer service / administration
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Basic computer knowledge (MS Office, hospital systems preferred)
- Professional appearance and positive attitude
