The position
PURPOSE OF THE ROLE
The Head of Facilities and Maintenance will primarily be involved in the management of all the Hyderabad Academy facilities hard and soft services. This includes responsibility for ensuring:
Planned, preventative maintenance of all facilities and services.
The provision of food services, housekeeping, laundry, pest control, and gardening services are professional, of high quality, and fit for purpose within the vision of the Aga Khan Academies.
All buildings are safe and performing adequately.
The buildings are clean and professional protocols are being followed.
The security of the building is adequate and being monitored.
All systems and staff are in place for all aspects of maintaining the facilities and soft services to a very high standard.
Responsibilities extend to the timely delivery and completion of all technical services, repairs, and upgrades, including the annual budget and financial oversight of the Facilities and Maintenance functions

Key Responsibilities
Primary Responsibilities:
Oversee the Facilities and Maintenance team to ensure effective upkeep of all Academy infrastructure—electrical, mechanical, sanitary, and structural systems. Conduct regular inspections, plan annual and multi-year maintenance schedules, and ensure timely repairs. Supervise the Assistant Admin Manager to maintain high standards in catering, security, housekeeping, landscaping, pest control, and laundry.
Prepare and manage annual and long-term facilities budgets. Ensure compliance with government and AKS standards and monitor adherence to manufacturer specifications and warranties. Track and optimize energy and utilities consumption. Develop and implement facilities policies, sustainability initiatives, and a Facilities Management Manual.
Oversee vendor and contractor operations, ensuring cost control, quality, and compliance. Manage recruitment, performance, and development of facilities staff. Maintain accurate maintenance records and drive continuous improvement to enhance asset performance and lifecycle.
Provide monthly operational and financial reports to the Head of Academy and Head of Property Development. Conduct facility condition audits and recommend improvements. Support the planning of campus events and represent the Academy when required. Lead and oversee construction and capital projects, from design to commissioning, including coordination with local authorities for approvals. Implement preventive maintenance systems and ensure compliance with safety and environmental standards.
General Responsibilities:
As part of the Extended Senior Leadership Team, ensure legal and municipal compliance in all facilities operations. Act as the primary link between the facilities teams, management, and service providers. Prepare and review reports on maintenance activities, project status, and utility consumption. Identify and mitigate operational risks to minimize downtime and protect asset value.
Promote a culture of customer-focused and quality-driven service delivery. Ensure timely, cost-effective technical support aligned with AKDN Green Building Guidelines. Manage vendor payments, budget tracking, and document control as per the Document Management System (DMS).
Provide technical inputs in contracts, safeguard Academy interests, and uphold professional and ethical standards in all interactions with internal teams and external partners.
Qualifications:
Bachelor’s degree in Civil, Mechanical, Electrical, or Structural Engineering, or equivalent with 10 years’ experience in facilities management. Certification in Project or Facilities Management (PMP, PRINCE2, IFMA, IWFM) preferred. Experience in sustainability programs, smart building systems, and energy efficiency. Strong budgeting, contract, and stakeholder management skills.
Experience:
Minimum 5 years of experience in multi-location facilities management, ideally in education. Proven record in managing construction projects, obtaining regulatory approvals, and ensuring compliance with fire, safety, and environmental norms. Experience leading rapid facility upgrades and managing diverse maintenance functions.
Knowledge and Competencies:
Strong technical knowledge of facilities management, accounting practices, and FM software. Skilled in government liaison and compliance. Excellent communication, problem-solving, and strategic planning skills. Strong leadership, team management, and conflict-resolution abilities.
Ethical, innovative, and adaptable professional with deep understanding of building systems, maintenance planning, and emergency preparedness. Highly organized, results-oriented, and capable of driving operational excellence and sustainability initiatives.
