Job Purpose: To carry out a variety of daily, monthly, and annual responsibilities in an effort to maintain the efficient functioning of Momence High School, in accordance with the administration, faculty, and established policies, with a primary focus on discipline and athletics.

Requirements: Completion of a high school diploma or any equivalent combination of experience and training, including or supplemented by business school courses.

Specific Job Skills: Ability to handle large volumes of work and a variety of jobs associated with the running of a busy office in an efficient and accurate manner. Excellent communication and interpersonal skills, to include the ability to effectively communicate via phone, email, and in person. Excellent bookkeeping skills and the ability to maintain very accurate records. Understands the principles of organizational management and timely implementation. Appreciates the need for accuracy and consistency in the workplace. A natural forward planner who consistently assesses school procedures, provides suggestions for improvement, and critically assesses their own performance.

Personality: Self-starter, a results-oriented person with a positive outlook and a clear focus on high quality in all aspects of the job. Empathetic and comfortable dealing with a range of administrators, faculty, staff, and students. Reliable and able to solve problems independently and collaboratively.

Computer Skills: Working knowledge of modern office practices and procedures. Working knowledge of computers and electronic data processing; must be adept in the use of Excel, Quicken, and Microsoft Word, with an emphasis on creating and maintaining accurate databases. Must have or be able to develop proficiency with specific applications in use: Google Office Products, Microsoft Office Products (Word, Excel, and PowerPoint).

Key Responsibilities and Accountabilities:

  • Responsible for assisting and maintaining all athletic scheduling and record keeping, including officials, athletic contracts, athletic budgets, and athletic purchase orders.
  • Review and prepare communication to be sent out by the building administration.
  • Anticipate, respond to, and follow up on school operations related to the Associate Principal’s role and responsibilities.
  • Keeps record of student sports physicals
  • Organize and maintain the Associates principals’, building’s, and district’s schedule as needed.
  • Communicate effectively and appropriately with parents, staff, and students.
  • Anticipate, respond to, and follow up on faculty and student needs as they arise.
  • Utilize discretion regarding sensitive information and incidents to ensure confidentiality and privacy is maintained regarding students, staff, records, and district information.
  • Plan and carry out direct notifications and documentation for High School parent users of the TeacherEase Portal.
  • Maintain, develop, and execute data reports as requested by the administration.
  • Assists in the administration of the summer responsibilities for the main office.
  • Cross-train with other office personnel within the school district for consistency and coverage as needed.
  • Process checks for sports officials, reimbursements for purchases out of activity accounts, and reconcile bank accounts monthly
  • Manages district fees, issues past due invoices
  • Update all student contact information throughout the year.
  • Attend ongoing training to develop relevant knowledge and skills.
  • All other duties as delegated by the associate principal.

Work Details: 200 days, 10 months, Position. July off. $16.00 per hour. Excellent benefits package included.
