$22.28 – $25.26 per hour (pursuant to ELESPA contract based on experience)


WORK YEAR:


40 hours per week/12 month

General Summary


In accordance with the established policies and procedures of the East Lansing Public School District, the High School Registrar is responsible for providing secretarial and administrative support to the building administration, counseling and teaching staff, school officials and parents, while also assisting students with both physical and administrative needs.


About the Role


  • Manages all enrollment activities, including but not limited to: enrolling new students, verifying residency, processing records requests for new students, handling student withdrawals, managing continuation forms, and coordinating enrollment communication with families.
  • Manages summer enrollment for MacDonald Middle School.
  • Processes work permits.
  • Collects transcript fees and submits deposits as needed.
  • Maintains student files for all students.
  • Assists with the October/February pupil count.
  • Processes graduation verification requests.
  • Processes Social Security documents and provides information to social service agencies regarding enrollment and attendance of students.
  • Makes grade changes based on teacher notifications.
  • Enters credits for transferring students and ensures that outside credits are appropriately added to student transcripts.
  • Processes certification letters and verifications of enrollment.
  • Fulfills diploma and transcript requests.
  • Makes demographic changes in the system at the beginning of the year and as needed.
  • Assists with before-school orientation activities.
  • Maintains transcript files for graduates and non-graduates.
  • Communicates legal name changes to staff and the Superintendent’s office.
  • Generates electronic report cards at the completion of each marking period. Transmits report cards to parents/guardians.
  • Inputs new student immunizations into the State Registry.
  • Assists with teacher check-out at the end of the year
  • Communicates with counselors and administration regarding seniors’ credit audits.
  • Inputs course requests for students as needed.
  • Responsible for entering, updating, and maintaining the master schedule in the computer system.
  • Generates reports (i.e., MTSS reports, class lists, master schedule, etc.).
  • Makes sure student records are prepared to roll over correctly.
  • Performs receptionist duties, including greeting visitors, answering and directing phone calls, and providing general information to students, staff, and the public.
  • Communicates effectively with a wide range of audiences through correspondence and phone interactions.
  • Performs basic office functions, including typing, transcription, copying, mail processing, filing, phone communication, proofreading, and bookkeeping/accounting.
  • Independently manages nonroutine matters by interpreting established policies, providing accurate information, making decisions within set guidelines, and escalating concerns to the supervisor as needed.
  • Performs other duties as assigned and is available to work overtime, as needed.


Education, Knowledge and Skills Required


  • Proficient in computers usage, Microsoft Word, Microsoft Excel, proofing, memo writing, beginning accounting, filing, calculator, copy machine, and telephone.
  • Assessment testing in typing (60 WPM), grammar, spelling, proof reading, Excel.
  • Lifting (approx. 60 lbs), bending, legible writing.
  • High school diploma plus 3 to 5 years’ experience in secretarial work for executive personnel preferably in a school setting.
  • Demonstrated ability to communicate verbally and in writing to a variety of audiences is required.
  • Possesses strong interpersonal skills.
