Summary: Responsible for the efficient management and preservation of local government records and Historical information.

Duties & Responsibilities

Essential Job Functions: Performs and assists in administrative duties for the Jefferson County Historical Commission members; greets and assists visitors; answers incoming telephone calls; opens and distributes mail; assists and guides persons researching County records; maintains Historical Commission files, library, archives, and computer database; prepares the Commission Structure section for annual report; coordinates preparation of the marker application process, keeps files of markers and assists in marker dedications; coordinates the Distinguished Service Award material for mailing to the Texas Historical Commission; assists in arranging meetings, preparing agendas and recording minutes of meetings for the Historical Commission; assists with record keeping of the budget and expenses of the Historical Commission; assists in compiling quarterly newsletter, printing and mailing out; prepares news releases; checks newspapers for articles concerning the Historical Commission or items of historical interest; works with other historical/heritage groups in the area; attends Commissioners’ Court when items on agenda pertain to the Historical Commission or any historical or records preservation; Works with county departments to arrange historical marker installations and other oversight of historical county assets; Assists in organizing public events such as workshops, cemetery tours, and walking tours. Regular and predictable attendance is an essential function of this position.

Other Job Functions: May attend the Texas Historical Commission annual conference and local government records preservation seminars. Perform other job related duties as directed.

Education & Experience

Education & Experience: High school diploma or GED; 6 months to 1 year experience in general office work including computer experience; experience dealing with historical information preferred.

Specialized Requirements: Subject to comprehensive background check.

Knowledge, Skills, & Abilities

Knowledge, Skills, & Abilities: Knowledge of accepted office practices and procedures; excellent verbal and written communication skills; excellent interpersonal skills to deal effectively with the Historical Commission, all levels of employees, elected officials and the general public; typing and personal computer skills; excellent organizational and record keeping skills; ability to manage routine office details and make effective administrative decisions; ability to work with little or no supervision; knowledge of By-Laws of the Historical Commission; knowledge of the Texas Local Government Records Law and Texas Preservation Handbook; knowledge of Texas and local history as well as state and local resources for historical research; knowledge of records management laws.

Work Situations/Demands/Efforts: Job requires organizing; prioritizing; accuracy and attention to detail; working alone and as part of a group; possible out-of-town travel to attend conferences.

Working Conditions: Work is performed in a climate controlled office environment which is readily accessible to the general public as well as other employees. Must be available to work flexible part-time hours, which may include weekends or evenings for special events. Not to exceed 28 hours per week.

Physical Requirements: Job duties require frequent walking, lifting and carrying objects up to 25 lbs.
