(Bakersfield HOA support handled remotely from the Ridgecrest office)

Frontier Real Estate is a multi‑city property management firm providing comprehensive HOA management services throughout Ridgecrest and Bakersfield, California. As our HOA portfolio continues to expand, we are seeking an HOA Administrative Supervisor Assistant to support executive‑level HOA operations, financial oversight, and departmental workflow across both cities while working directly under the HOA Supervisor.
Position Summary
The HOA Administrative Supervisor Assistant provides high‑level administrative, financial, and operational support to the HOA Supervisor for HOA departments in Ridgecrest and Bakersfield. This position is based in the Ridgecrest office, with Bakersfield HOA operations handled remotely under the direction of the HOA Supervisor.
This role requires strong organizational skills, basic accounting knowledge, professionalism, and the ability to manage complex administrative, compliance, and board‑level responsibilities. The position may occasionally assist with field operations to ensure continuity but is primarily an administrative and supervisory support role.
Office Schedule & Work Hours
- Office Hours: Monday – Friday, 8:00 AM – 5:00 PM
- Location: Ridgecrest office
- Evening Meetings: Approximately four (4) HOA Board meetings per month, typically 6:00 PM – 9:00 PM
- Overtime: Evening meetings are paid as overtime
Consistent attendance and reliability are essential.
Key Responsibilities
Administrative & Supervisory Support
- Provide direct administrative support to the HOA Supervisor across both Ridgecrest and Bakersfield departments
- Assist with administrative responsibilities for multiple HOA communities
- Assist with HOA demands, compliance documentation, and special projects
- Review HOA policies and provide operational recommendations
- Oversee projects and workflow initiatives as assigned
- Maintain organized, accurate records and documentation
Financial Oversight & Reporting
- Assist with HOA fees, financial records, budgeting, and interpreting homeowner ledgers
- Help prepare annual HOA budgets
- Oversee invoices, accounts receivable, accounts payable, and delinquency tracking
- Prepare complete financial packets for HOA Board meetings
- Interpret financial data and present financial findings to HOA Boards
- Provide monthly management and financial reports to HOA Boards
- Run payroll jointly with the HOA Supervisor for assigned communities
- Secure and maintain appropriate insurance policies
Board & Resident Relations
- Communicate professionally with HOA Boards and residents regarding policies, issues, and financial matters
- Schedule and attend HOA Board meetings
- Facilitate HOA Board elections
- Respond to homeowner questions and concerns in a timely and professional manner
- Send official notices and maintain consistent communication with HOA members
Compliance & Community Oversight
- Understand and interpret HOA governing documents (CC&Rs, Bylaws, Rules & Regulations)
- Enforce CC&R violations consistently and professionally
- Inspect for violations and coordinate towing when applicable
- Mediate disputes and conflicts between residents when appropriate
- Ensure HOA compliance with applicable Federal, State, and local laws
- Maintain and improve common and shared amenities
- Create and supervise maintenance schedules and repairs
- Coordinate and manage third‑party contractors and work orders
Field & Operational Support (As Needed)
- Conduct or oversee property inspections as needed to support operations
- Assist with onsite HOA needs when required
- Occasional travel between HOA communities (not a primary duty)
Minimum Qualifications (Knowledge, Skills & Abilities)
- Minimum two (2) years of reception, administrative, or customer‑facing experience (or equivalent), OR a degree in Business Administration
- Strong organizational and multitasking skills
- Proficient in Excel
- Excellent oral and written communication skills
- Strong customer service and conflict‑resolution abilities
- Ability to exchange non‑routine information using tact and professionalism
- Basic accounting knowledge required (knowledge test required)
- Valid California Driver’s License
- Reliable, fully insured vehicle for occasional HOA travel
- Ability to pass an background check (post‑offer)
- Required to obtain CACM Certification by March 2027
Preferred Qualifications
- Prior HOA or property management experience
- Financial or bookkeeping support experience
- Experience working with HOA Boards and governing documents
- Supervisory or executive administrative support experience
- Existing CACM Certification
