Assisting Hands® Home Care, a national leader for In-Home Care services for seniors is looking for an outstanding Office Administrator / Human Resources and Scheduling Leader to join our team. Employee Status, Hours and Location

  • Salaried, exempt W2 employee
  • 8:30am – 5pm, Monday-Friday on-site at our office on the West Roxbury/Needham line
  • At times requires more than 40 work hours per week, these hours can be conducted at home
  • Will participate in the after-hours on-call rotation

Experience and Job Responsibilities

  • Minimum 3 years in a home care agency or a senior care facility such as short-term Rehab, skilled nursing Home Health agency, in-home Hospice or an Independent or Assisted Living Retirement Community.

Human Resources and Hiring

  • Lead Human Resources efforts. Will lead the caregiver recruiting and onboarding process.
  • Screen CNA, HHA and PCA caregiver job applicants by phone. Conduct brief in-person interviews and collaborate with the Nurse Supervisor to hire the most qualified, empathetic caregivers with the English language skills necessary to communicate with clients.
  • Work with the Nurse Supervisor to ensure at least 4 caregivers are hired per week.
  • Collaborate with the Nurse Supervisor to quickly match caregivers with new clients as soon as clients are acquired.

Scheduling

  • Schedule all caregiver shifts with clients using our software system, training on the software is provided. Communicate all caregiver schedules to the Nurse Supervisor including all schedule changes. Ensure all client shifts are covered even if changes occur on short notice.
  • Work with new hires to download our software system’s cell phone app so caregivers can review their weekly schedule and clock in and out at the client’s residence. Monitor the clocking in and out process and ensure all caregivers are on time and work an entire shift. Report any issues to the Nurse Supervisor.
  • Lead the caregiver onboarding process including having tax forms completed and all employee paperwork signed.

Marketing

  • Take phone inquiries from potential new clients and schedule in-home appointments for the agency Owner or Nurse Supervisor to convert phone inquiries into new clients.
  • Receive paid client leads from A Place for Mom. Communicate with all paid leads by phone, text and email every Monday, Wednesday and Friday mornings to convert paid leads into new clients.
  • Assemble marketing materials to support the Agency Owner’s marketing efforts.
  • Research events at Retirement Communities and senior centers to build strong community relationships and acquire new clients. Conduct events in collaboration with the Agency Owner, Nurse Supervisor or other office personnel.
  • Excellent phone communication skills are crucial.
