HR & Admin Associate

Role summary

Axora Consulting is hiring a Part-Time HR Associate to support high-trust HR work, with a strong emphasis on employee relations (ER) investigations and clean HR administration. This is an ideal role for someone who wants hands-on experience in real HR operations while working under direct supervision and strict confidentiality standards.This role supports both client work and internal Axora HR operations. You will help keep investigations organized, documented, and moving forward, while also supporting internal hiring, administration work, onboarding, and HR file control as assigned.

Hours and schedule

  • Part-time: 15–20 hours per week
  • Remote
  • Travel only if required by client or occasional meet-ups
  • Flexible schedule with required reliability and communication

Key responsibilitiesClient-facing (ER investigations + HR support)

  • Support ER investigations through structured admin and documentation:
  • Set up and maintain investigation case folders using the approved naming standard
  • Build timelines, organize evidence, and maintain an action log
  • Draft neutral interview questions and interview plans for review
  • Prepare first-pass summaries for review (facts, themes, open items)
  • Track follow-ups and deadlines to keep cases moving
  • Recruiting and hiring support for client projects (as assigned):
  • Applicant communications, scheduling, and coordination with hiring managers
  • Candidate file organization and documentation

Internal Axora responsibilities (HR admin + hiring support)

  • Support internal recruiting and hiring:
  • Maintain the internal candidate tracker and stage updates
  • Coordinate interviews, confirmations, and follow-ups
  • Keep job description files current and properly versioned
  • Support internal onboarding administration:
  • Collect onboarding documents (W-4, I-9 coordination, direct deposit, policy acknowledgments) and confirm completeness
  • Set up and maintain internal employee folders using Axora’s required structure
  • Run periodic HR file audits and report missing items
  • Support internal HR documentation and Administration tasks as required:
  • Maintain clean document control, file naming, and archiving/retired doc controls
  • Draft first-pass templates/checklists for review (SOPs, CHKs, acknowledgments)

Boundaries (non-negotiable)

  • You will not make final findings, disciplinary decisions, or legal conclusions. You will only give your fact based statements to the President directly with your thoughts on how this should be handled. Your opinion will be highly considered and valuable.
  • You will not communicate investigation outcomes to employees or clients unless explicitly directed.
  • You will not store passwords or sensitive data outside approved systems.
  • You will follow Axora’s documentation standards exactly.

Requirements

  • Strong interest in HR, employee relations, and compliance
  • Excellent written documentation skills (clear, factual, neutral tone)
  • High discretion and comfort handling sensitive information
  • Strong organization and follow-through
  • Comfortable with Microsoft 365 (Outlook, Teams, SharePoint) and trackers (Excel/Lists)

Nice to have

  • Prior HR internship/assistant experience
  • Exposure to investigations, performance documentation, or compliance work
  • Experience supporting recruiting coordination

Reporting relationship

  • Reports directly to the President
