Role Summary
The HR & Administration Manager will be responsible for managing employee relations, administrative control, office discipline, compliance documentation, and execution of management directives. The ideal candidate must be proactive, solution-oriented, highly organized, and capable of completing tasks independently without constant supervision.
Key Responsibilities
- Handle day-to-day employee concerns and minor disputes professionally
- Maintain discipline, punctuality, and workplace standards
- Ensure company policies are properly implemented
- Act as a bridge between employees and management
- Office Administration & Cleanliness Control
- Ensure office cleanliness, hygiene, and professional environment
- Supervise office boy and support staff
- Monitor grooming and uniform compliance
- Front Desk & Coordination
- Oversee reception and visitor management
- Ensure professional handling of guests and calls
- Coordinate meeting schedules and conference arrangements
- Office Supplies & Inventory Control
- Maintain records of stationery and office supplies
- Monitor usage and control unnecessary expenses
- Ensure timely replenishment
- Legal & Documentation Filing
- Maintain organized filing of:
- Trade License
- Leasing documents
- Contracts & agreements
- HR files
- Compliance records
- Ensure document renewal deadlines are tracked and managed
- Government & External Liaison
- Coordinate with PROs, government departments, and service providers
- Manage visa documentation, labour-related formalities
- Handle office-related liaison work professionally
- Execution & Follow-Up Control
- Complete assigned tasks independently without repeated clarification
- Research and gather information before escalating questions
- Follow up with employees on assigned tasks
- Track pending work and ensure closure within deadlines
- Research & Process Improvement
- Conduct research on operational improvements when required
- Assist management in implementing new systems or policies
- Support ERP (Odoo) process compliance
