Position Overview

  • Job Title: HR Administrative Assistant
  • Salary: $45,000 – $48,000 per year
  • Employment Type: Full-Time
  • Schedule: Monday–Friday | 8:00 AM – 4:00 PM
  • Location: Honolulu, HI

We are seeking a dependable, organized, and motivated HR Administrative Assistant to support the day-to-day operations of our Human Resources team. This role is critical in assisting with recruitment, onboarding, recordkeeping, benefits administration, and general HR administrative tasks.

Key Responsibilities

  • Assist with recruitment processes, including screening applicants, scheduling interviews, and coordinating with hiring managers.
  • Support onboarding by preparing orientation materials and helping new hires with benefits enrollment.
  • Conduct weekly check-ins with team leads to review staffing needs and personnel updates.
  • Represent IFSH at job fairs, hiring events, and community outreach initiatives.
  • Maintain accurate and confidential employee records, including hires, promotions, and terminations.
  • Support offboarding procedures, including preparing separation documents and participating in exit interviews.
  • Respond to employee inquiries regarding benefits, 401(k), TDI, and Workers’ Compensation.
  • Track and manage paid time off (PTO) while ensuring HR reports and compliance documents are current.
  • Provide general administrative support, such as answering phones, greeting visitors, managing files, and overseeing office supplies.
  • Manage uniform inventory, supply orders, and incoming shipments using Excel and internal tracking systems.

Qualifications & Skills

  • Previous experience in HR, administrative support, or a similar role.
  • Basic knowledge of employment laws and HR processes.
  • Strong written and verbal communication skills with excellent interpersonal abilities.
  • Highly organized, detail-oriented, and able to manage multiple priorities.
  • Professional, discreet, and ethical in handling confidential information.
  • Proficient in Microsoft Office (Excel and Word).
  • Familiarity with payroll processes is a plus.
  • Valid driver’s license and reliable transportation preferred.

Education & Experience

  • Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • Minimum of one year providing administrative or HR support.
  • Experience working with spreadsheets, scheduling tools, and document management systems.
