We are seeking a dynamic and organized HR Administrative Assistant to join our team! Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems to handle inquiries, schedule appointments, and support internal communication.
- Maintain accurate data entry records using computer literacy skills, including Microsoft Office and Google Workspace tools.
- Support office management tasks such as filing, proofreading documents, and organizing employee records.
- Assist with calendar management and scheduling for HR team members and other departments.
- Provide customer service support by responding promptly to employee inquiries and assisting with onboarding processes.
- Perform clerical tasks including photocopying, faxing, mailing, and maintaining organized filing systems.
- Support bookkeeping activities using QuickBooks or similar accounting software when needed.
- Contribute to data entry projects related to employee information, benefits administration, or other HR initiatives.
- Ensure smooth office operations by managing supplies inventory and coordinating maintenance requests.
Qualifications
- Proven office experience with strong organizational skills and attention to detail.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Prior clerical or administrative experience preferred; experience in customer service or reception roles is highly valued.
- Bilingual abilities are a plus for supporting diverse teams and clients effectively.
- Familiarity with multi-line phone systems, calendar management, and office management best practices.
- Strong phone etiquette and excellent interpersonal skills to provide exceptional customer support.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Typing speed of at least 50 words per minute with high accuracy; proofreading skills are essential.
- Knowledge of bookkeeping software such as QuickBooks or similar is advantageous.
- Personal assistant or medical/dental receptionist experience can be beneficial but is not required.
