Job Position: HR / Administrative Assistant & Receptionist

Compensation: $45,000 – $60,000 annually (depending on experience)

Role Overview

We are seeking a reliable and organized HR / Administrative Assistant & Receptionist to support our Boston office and assist company directors with day-to-day administrative, HR, and front-desk responsibilities. This role acts as the first point of contact for visitors and employees, while helping maintain a smooth, professional, and welcoming office environment.

Key Responsibilities

Reception & Front Office Management

  • Greet and assist visitors, clients, and employees in a professional manner
  • Manage incoming calls, emails, and general inquiries
  • Maintain a tidy and welcoming reception and office area
  • Coordinate meeting room scheduling, office supplies, and general office upkeep

Administrative Support

  • Provide administrative assistance to directors and internal teams
  • Prepare basic correspondence, reports, and internal documentation
  • Organize company files and maintain accurate, up-to-date records
  • Assist with scheduling, travel arrangements, and general office coordination

HR & Payroll Support

  • Assist with new hire paperwork, onboarding, and maintaining employee files
  • Support timesheet collection and basic payroll preparation
  • Help maintain HR records, employee databases, and compliance documentation
  • Coordinate basic HR communication and support staff inquiries

Qualifications

  • Bachelor's degree in Business Administration, Human Resources, Management, or a related field is preferred but not required; equivalent experience will be considered
  • Previous experience in HR support, administrative assistance, office coordination, or receptionist roles
  • Strong communication and interpersonal skills
  • Professional and polished front-office demeanour
  • Strong multitasking and organizational abilities
  • Basic understanding of HR processes and documentation
  • Proficiency with Microsoft Office / Google Workspace
  • Ability to maintain confidentiality and handle sensitive information
  • All applicants must be eligible to work in the U.S.

Preferred (Not Required)

  • HR-related certification (SHRM-CP, or similar)
  • Experience with payroll systems or HRIS software
  • Experience supporting a small but growing office environment
