HR Administrator — ADP Workforce Now Required | Mortgage Industry

Swift Home Loans is the #1 mortgage brokerage in the country partnered with United Wholesale Mortgage (UWM). We are growing fast — hiring 40+ people per month across multiple offices — and we need an HR Administrator who can keep up.

This is not a quiet back-office role where you process a few new hires a week and update a spreadsheet. This is high-volume, fast-paced, detail-intensive HR in a regulated financial services environment. You will be the person who keeps the engine running while the company scales. We are based in a brand-new headquarters in Birmingham, MI. This role is full-time, on-site, Monday through Friday.

What You'll Actually Be Doing

You will own ADP Workforce Now. Not "assist with" or "support" — own it. Every new hire, every termination, every status change, every report, every payroll coordination touchpoint runs through you. If you don't have deep, hands-on ADP Workforce Now experience, stop here. This is non-negotiable and there is no ramp-up period.

You will onboard 40+ new hires per month. That means offer letters, documentation, I-9s, system setup, benefits enrollment, and orientation support — at volume, every single week, without anything falling through the cracks. You need a system for this. If you've only ever onboarded 5-10 people per month, be honest with yourself about whether you can scale that by 4-8x.

You will manage NMLS licensing tracking and renewals. Our loan officers are licensed professionals in a regulated industry. You will track who is licensed, who is pending, who needs renewal, and ensure nothing lapses. If you have mortgage or financial services HR experience, you know what this means. If you don't, you'll learn fast — but you need to be the kind of person who thrives on tracking hundreds of moving pieces with zero errors.

You will keep us compliant. Employee files, federal and state recordkeeping requirements, HR audits, documentation — all of it maintained to a standard that would survive an audit tomorrow. This isn't aspirational. It's the baseline expectation.

You will support recruiting operations. Posting jobs, coordinating interviews, running background checks, managing candidate communications. You won't be doing the recruiting strategy — but you'll be the operational backbone that makes it work at scale.

Who This Role Is For

This role is for someone who has done high-volume HR administration before and thrived in the chaos. You've worked in a company that was growing fast, hiring constantly, and you were the person who made sure nothing broke. You're not looking for a slow, predictable HR job — you want the one where you're challenged every day and your work actually matters.

Specifically:

  • You have 3+ years of hands-on HR administration experience
  • You have real, daily-use experience with ADP Workforce Now — not "I've seen it" but "I run it"
  • You've handled high-volume onboarding (20+ hires per month minimum)
  • You're obsessively organized and you have systems, not just intentions
  • You handle confidential information without being reminded to
  • You're proficient in Excel, Word, and Outlook
  • You can work independently without being managed through every task

What Sets You Apart

  • Prior HR experience in mortgage, banking, or financial services
  • Familiarity with NMLS licensing processes
  • Knowledge of employment law and HR compliance at the state and federal level
  • HR certification (PHR, SHRM-CP, or similar)

These aren't required, but if you have them, you'll hit the ground running faster and you'll stand out immediately.

Compensation & Benefits

  • $65,000–$85,000 per year depending on experience
