Job Title: Human Resources & Administrative Coordinator
Job Description:
StruXure PNW is seeking a highly organized, detail-oriented, and proactive Human Resources & Administrative Coordinator to support our growing team. This role will oversee core HR functions while also assisting with administrative and accounting-related responsibilities to help support day-to-day business operations.
The ideal candidate is professional, confidential, process-driven, and capable of balancing employee support with operational accountability in a fast-paced construction and outdoor living environment.
Key Responsibilities:
Human Resources & Recruiting
- Create and manage job postings across hiring platforms
- Review applications and coordinate interviews
- Conduct background checks and reference checks
- Prepare offer letters and coordinate onboarding
- Ensure compliance with Washington State hiring laws, including EEO and salary transparency requirements
- Complete new hire onboarding paperwork including I-9s, W-4s, and state-required forms
- Conduct handbook and policy reviews with employees
- Coordinate employee system setup including email, ADP, and project management software access
- Track 90-day probationary periods and employee milestones
Payroll, Benefits & Compliance
- Assist with payroll auditing, commissioned sales tracking, and payroll accuracy
- Monitor employee hours, PTO, and sick leave balances
- Ensure compliance with Washington payroll regulations including PFML, L&I, and Paid Sick Leave
- Assist with wage audits and corrections as needed
- Coordinate health, dental, vision, life, and disability insurance enrollments
- Assist with HSA/FSA administration and employee deductions
- Support annual open enrollment processes
- Coordinate COBRA and continuation coverage administration
- Maintain accurate and confidential employee files and HR documentation
- Perform periodic audits of HR and payroll records to ensure accuracy and compliance
Safety & Employee Relations
- Maintain safety documentation and OSHA compliance records
- Coordinate jobsite safety training and maintain safety logs
- Assist with injury reporting and return-to-work programs
- Coordinate with insurance carriers regarding claims and documentation
- Support employee relations conversations and assist managers with coaching and corrective action processes
- Help investigate employee concerns and workplace issues
- Assist with performance reviews, goal tracking, and employee development initiatives
- Support company culture, morale, and employee engagement initiatives
Administrative & Accounting Support
- Assist office staff with administrative projects and operational tasks as needed
- Support accounts receivable and collections follow-up
- Assist with invoice tracking, vendor documentation, and expense organization
- Maintain organized digital and physical records
- Assist leadership with reporting, spreadsheets, and operational documentation
- Support audits and data verification across departments
- Help ensure accuracy in financial and administrative reporting
- Coordinate document collection and tracking for projects, vendors, and subcontractors
Qualifications:
- Previous HR, office administration, or operations experience preferred
- Experience in construction or home improvement industry is a plus
- Knowledge of Washington State employment laws preferred
- Strong organizational and communication skills
- Ability to maintain confidentiality and professionalism
- Detail-oriented with strong follow-through
- Proficient in Microsoft Office, Google Workspace, and payroll/HR systems such as ADP
- Comfortable working in a fast-paced, team-oriented environment
