is seeking a highly organized and proactive
HR and Executive Assistant
to manage daily operations, internal coordination, and administrative processes. This role will also include basic
HR support
, making it ideal for someone with a people-first mindset and strong organizational skills. The Office Administrator will be the backbone of the studio’s smooth workflow, supporting both the creative and management teams.
Key Responsibilities
Office Management

Oversee daily operations of the studio, including maintaining office supplies, cleanliness, and functioning of equipment.

Coordinate with vendors and service providers (e.g., IT support, maintenance, utilities, couriers).

Manage studio inventory, petty cash, and basic bookkeeping related to office expenses.

Ensure a welcoming and organized environment for clients, visitors, and team members.
Administrative Support

Schedule and coordinate internal meetings, shared calendars, and logistics.

Handle incoming/outgoing communications including calls, emails, and mail.

Maintain and organize physical and digital filing systems (contracts, invoices, forms).

Assist with the preparation of internal reports, presentations, and documentation.
Event & Project Coordination

Support internal and client-facing events, workshops, and meetings, including logistics, catering, and documentation.

Assist various teams with administrative tasks on active projects as needed.
HR & People Operations

Support recruitment processes by coordinating interviews and maintaining candidate records.

Assist in onboarding new hires: preparing welcome kits, documentation, orientation schedules.

Maintain employee records including contracts, leave tracking, and performance documentation.

Support internal communication, employee engagement initiatives, and team well-being.

Act as a liaison between management and team members for HR-related matters and internal processes.
Requirements & Qualifications

Proven experience as an Office Administrator, Office Manager, or Administrative/HR Assistant.

Familiarity with basic HR functions (onboarding, records, employee support).

Excellent organizational and time-management skills.

Strong written and verbal communication skills in English (Arabic is a plus).

Proficiency in Microsoft Office (Word, Excel, Outlook) and digital collaboration tools (e.g., Google Workspace, Notion, Trello).

High level of discretion and professionalism in handling confidential matters.

Ability to multitask and take initiative in a fast-paced, creative environment.

Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.

Experience in the creative or marketing industry is a plus.
