HR Assistant/ COO Administrative Assistant

Position Overview
This dual-role position provides hands-on HR support while serving as a key administrative partner to the COO. The ideal candidate is proactive, detail-oriented, trustworthy, and comfortable working in a fast-paced production environment.

This is a highly visible role with leadership interaction and growth potential for the right candidate.

Key Responsibilities

  • Human Resources Support:
  • Assist with recruitment (job postings, resume screening, interview scheduling)
  • Coordinate onboarding and new hire documentation
  • Maintain employee files and ensure compliance with California labor laws
  • Support payroll processing and timekeeping audits
  • Assist with benefits administration
  • Maintain I-9 records and workers’ compensation documentation
  • Support safety, training, and compliance programs

COO Administrative Support:

  • Manage calendar, meetings, and correspondence
  • Prepare reports, spreadsheets, and internal communications
  • Assist with operational documentation and SOP updates
  • Track compliance documentation (OSHA, CDFA, SQF, HFAC, etc.)
  • Coordinate communication between departments
  • Handle confidential matters with professionalism and discretion
  • Support special projects and process improvement initiatives

Qualifications

  • 2+ years of administrative or HR experience preferred
  • Knowledge of California employment law strongly preferred
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Experience with payroll or ADP systems is a plus
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • High level of integrity and confidentiality
  • Bilingual (English/Spanish)
  • Experience resolving problems quickly; possesses good follow-up and organizational skills
  • Experience working in a continuously changing environment
  • Associates/Bachelor’s degree in business or Human Resources

Compensation

$27–$33 per hour
Competitive pay based on experience and qualifications.

Job Type: Full-time

Pay: $27.00 - $33.00 per hour

Expected hours: 40 per week
