We are seeking a dynamic and highly organized HR Assistant to support executive leadership and streamline daily operations. Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide comprehensive executive administrative support such as drafting correspondence, proofreading documents, and transcribing notes.
- Handle multi-line phone systems with professionalism and courtesy, maintaining excellent phone etiquette at all times.
- Organize files, maintain records, and manage document filing systems both digitally and physically to ensure easy retrieval.
- Assist with event planning for company functions or meetings, including venue selection, catering coordination, and logistics management.
- Perform data entry and bookkeeping tasks using QuickBooks or similar software to support financial record-keeping and invoicing.
- Support project coordination efforts by tracking deadlines, preparing reports, and liaising with team members to ensure timely completion of tasks.
- Manage office supplies inventory and oversee general office management duties to maintain a productive work environment.
- Conduct proofreading and transcription of various documents to ensure accuracy and professionalism in all communications.
Requirements
- Proven experience as a Personal Assistant or in an administrative support role with at least two years of relevant office experience.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional typing speed combined with meticulous proofreading skills to produce error-free documents.
- Experience managing multi-line phone systems and demonstrating excellent phone etiquette.
- Knowledge of bookkeeping software such as QuickBooks along with basic accounting principles for accurate data entry and record-keeping.
- Demonstrated ability to coordinate projects from inception to completion while maintaining attention to detail.
- Strong communication skills—both verbal and written—with a professional demeanor suitable for customer service interactions.
- Ability to handle confidential information discreetly while maintaining high levels of integrity.

- Serve as a point of contact between the Administrator and staff, clients, vendors, and partners.
Personal Assistance
- Run errands as needed (mail, purchasing supplies, office errands, etc.).
- Organize personal and professional tasks and to-do lists.
- Assist with travel arrangements, reservations, and planning.
- Support the Executive Director with daily time management and task prioritization.
Office Support
- Help maintain a clean, organized, and efficient work environment.
- Track inventory for office supplies and submit orders when needed.
- Assist with setting up meetings, interviews, or training sessions.
Qualifications:
- High school diploma required; associate or bachelor's degree preferred.
- Previous experience as an assistant, administrative support, or related role.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Proficiency in Microsoft Office, Google Workspace, and basic technology.
- Ability to multitask and work independently with minimal supervision.
- High level of discretion and professionalism.
- Valid driver’s license and reliable transportation (if errands required).
- Answer and return phone calls, emails, and text messages professionally.
- Relay messages accurately and promptly.
- Ensure smooth coordination between departments and external contacts.
