Post - Senior Executive - HR Cum Admin
Experience - 2yrs to 5yrs

Job Purpose
To manage end-to-end HR and administrative functions at the Thane location, including recruitment, documentation, payroll, compliance, employee relations, vendor coordination, and general administration. The role ensures smooth HR operations and adherence to company policies across all branches.
Job Description:-
● Recruitment, Documentation and On-boarding
● Handle end-to-end recruitment for the assigned location.
● Coordinate salary negotiations, joining dates, and position closures.
● Supervision and Verification of Documentation & Onboarding
● Prepare salary structures and seek management approval.
● Conduct induction and onboarding sessions (with welcome kit arrangement); arrange welcome lunch.
● Create employee codes in Spine and provide HRMS access.
● Issue appointment letters and maintain acknowledgment records.
Time Management
● Generate and validate monthly attendance reports.
● Collect attendance registers/photos from branches and update records.
● Manage manual inputs and leave forms (leave, compensatory offs).
● Maintain and finalize attendance sheets for payroll processing.
● Update and track loan records.
● Share attendance sheets with branches for verification before payroll.
Payroll Management
● Update new joiner salary details in Spine HRMS.
● Prepare and upload payroll input data files.
● Process monthly payroll and validate accuracy before finalization.
● Share final salary data with Finance for disbursement.
● Prepare and share fund requirement data with Finance.
●Support Finance team in query resolution and ensure salary release on time.
Statutory Compliance
● Validate PF, ESIC, PT, and LWF deductions during payroll processing.
● Verify compliance workings from Atharva Consultancy and ensure timely challan generation.
● Coordinate with Finance for payment of statutory dues within TAT.
● Maintain compliance folders and share with clients monthly.
● Guide employees regarding PF/ESIC/LWF cases.
● Visit government offices as and when required.
Employee Relations, Grievances & Disciplinary Actions
● Act as the first point of contact for employee queries and grievances.
● Address attendance, salary, asset, and policy-related issues.
● Investigate disciplinary issues and initiate appropriate actions (warnings, terminations, transfers).
● Maintain discipline and positive employee relations across branches.
Vendor Coordination & Invoice Auditing
● Coordinate with manpower vendors (SRF, Shiv Ent, Soni Ent, RSS, SIS, etc.) for attendance and salary validation.
● Audit vendor invoices against approved data; ensure corrections before forwarding to Finance.
● Ensure timely manpower and overtime payments.
● Collect and share compliance documents with clients as per schedule.
Exit Formalities & F&F Processing
● Manage absconding, resignation, and termination cases.
● Ensure completion of handover, data, and asset clearance before F&F processing.
● Prepare F&F calculations and share for management approval.
● Coordinate with Finance for timely settlement release.
● Issue experience letters post clearance.
Administration
● Conduct monthly visits to all locations for monitoring and compliance.
● Support branches with administrative requirements.
● Ensure availability and issuance of uniforms, ID cards, and safety shoes.
Training & Development
● Conduct training needs analysis across locations.
● Prepare and monitor the annual training calendar.
● Coordinate delivery of training as per plan.
● Organize team-building and engagement activities.
