The HR cum Admin Manager is responsible for overseeing the daily administrative operations of the clinic while managing the full lifecycle of employees—from recruitment of licensed therapists to payroll. Your goal is to ensure the clinic is staffed with high-quality professionals and operates with 100% efficiency.
1. Human Resources Management
- Recruitment: Sourcing and vetting licensed Physiotherapists, Massage Therapists, and Front Desk staff.
- Credentialing: Ensuring all clinical staff have active licenses, malpractice insurance, and up-to-date certifications (e.g., CPR/BLS).
- Performance Tracking: Implementing KPIs for therapists (e.g., patient retention rates, session completion).
- Payroll & Benefits: Processing monthly salaries, calculating commission-based pay for therapists, and managing leave records.
2. Clinical Administration & Operations
- Schedule Management: Optimizing the therapist rotation to ensure maximum patient coverage without burnout.
- Patient Experience: Handling complex patient complaints or billing disputes that the reception team cannot resolve.
- Insurance Coordination: Overseeing the submission of insurance claims and managing "Rejections/Denials" to ensure steady cash flow.
- Facility Management: Ensuring the clinic meets health and safety standards (sanitization protocols) and coordinating maintenance for physio equipment (ultrasound machines, TENS units, etc.).
3. Financial & Inventory Control
- Supply Chain: Managing inventory for clinical supplies (tapes, oils, needles) and retail products (braces, foam rollers).
- Petty Cash: Managing the daily cash flow and clinic expenses.
- Reporting: Providing weekly reports to the Clinic Director on revenue, patient volume, and staff utilization.
