The HR Executive is responsible for managing end-to-end HR operations, including attendance and payroll management, recruitment, onboarding, performance management, employee relations, administrative coordination, and ERP implementation. The role ensures smooth HR functioning, policy compliance, and employee satisfaction while supporting organizational goals.
Key Responsibilities
1. Attendance & Payroll Management
- Track daily attendance for all employees and prepare monthly attendance and overtime (OT) reports on the 1st of each month.
- Coordinate with supervisors weekly to review and approve OT reports.
- Prepare monthly payroll along with department-wise salary summaries; submit to the Finance Manager on the 3rd and obtain CEO approval on the 4th.
- Generate telephone expense reports from e&, calculate excess usage deductions, and forward expenses to Accounts on the 2nd; update deductions in payroll.
- Print and distribute salary slips through the ERP system.
- Submit the monthly salary completion report on the 15th.
- Track fines and penalties with Procurement, obtain employee consent, and update deductions in payroll.
2. Recruitment & Onboarding
- Conduct staff planning and collect workforce requisition forms from department heads.
- Manage candidate sourcing, prepare job descriptions, screen CVs, and shortlist candidates.
- Conduct interviews, finalize selections, and discuss terms of employment.
- Complete joining, handover, and documentation formalities.
- Handle visa processing, renewals, and visit visa extensions.
- Oversee the daily tasks of the office assistant.
3. Training & Performance Management
- Plan and conduct staff training, upskilling, and employee well-being programs.
- Organize annual events and engagement activities.
- Manage the annual performance evaluation process, set KPIs with department heads, and assist with feedback and development planning.
4. Employee Management & Policy Compliance
- Plan and recruit labor for outsourcing requirements; track attendance and conduct random audits.
- Manage staff vacation schedules, leave applications, and approvals.
- Review and approve staff loans and salary advances.
- Oversee staff food and medical expense claims and ensure proper documentation and approvals.
- Ensure adherence to HR policies, including attendance, visa, probation, leave, and benefits.
- Draft and circulate HR memos and circulars.
5. Administrative Responsibilities
- Manage labor camp accommodations and ensure adequate provisions (beds, pillows, blankets).
- Maintain company vehicle records, schedule inspections, and track maintenance and renewals.
- Manage office stationery inventory and ensure proper usage.
- Coordinate with PRO and Procurement Officer for documentation, renewals, and related company processes.
- Manage staff insurance and other benefits.
6. ERP Implementation Support
- Coordinate with the ERP development team for system updates and live testing.
- Provide required documents, attend meetings, and support department-wise training.
- Collect user feedback, report issues, and ensure smooth implementation across departments.
Required Skills & Qualifications
- Bachelor’s degree or MBA in HR or related field.
- 1–3 years of experience in HR operations, payroll, and administration.
- Strong knowledge of UAE labor laws and HR policies.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and ERP systems.
- Strong multitasking and time-management abilities.
