HR + Finance Administrative Assistant

Location: University of Saint Francis
Status: Full-Time


Make an impact by supporting the people who keep our dining program running.

We are seeking a detail-oriented and customer-focused HR + Finance Administrative Assistant to provide critical administrative, clerical, and HR support to our Dining Services department. This role is ideal for someone who enjoys helping others, thrives in an organized environment, and brings professionalism to every interaction.


What You’ll Do

In this role, you will support both the front office and HR processes for the dining team. Key responsibilities include:

Front Office & Administrative Support

  • Greet all visitors in a friendly, professional manner.
  • Answer and route incoming calls with accuracy and courtesy.
  • Manage office supplies, equipment maintenance, and general office organization.
  • Maintain accurate hardcopy and electronic files following established protocols.
  • Post required labor notices and assist with other administrative needs as assigned.

HR Support

  • Process all new-hire paperwork and onboarding tasks, including forms, screenings, insurance enrollment, and employee file maintenance.
  • Maintain strict confidentiality in all employee interactions and record keeping.
  • Ensure accurate payroll setup and processing according to established deadlines.
  • Conduct quality assurance checks on payroll deductions and benefits information.
  • Track employee attendance and communicate concerns to the management team promptly.
  • Maintain accurate records of full-time benefit accruals (PTO, bonuses, etc.).

Finance & Accounting Support

  • Complete accounts payable tasks after review by the Dining Services Director.
  • Perform accurate data entry for financial reporting.
  • Support general accounting procedures according to established timelines.

  • Ability to communicate clearly and courteously with staff, visitors, and leadership.
  • Comfort working in a fast-paced environment and managing multiple priorities.
  • Proficiency with Microsoft Office and other software.
  • Strong attention to detail and accuracy in data entry, filing, and documentation.
