Job Responsibilities/Duties

Position Summary

Thermo King West, Inc. (DBA: Force TK) is seeking a knowledgeable, detail-oriented, and service-driven HR Generalist to support the daily operations of the Human Resources Department. This full-time, exempt position plays a critical role in recruitment, onboarding, benefits administration, payroll updates, compliance, and maintaining accurate employee records.

The HR Generalist plays a key role in modernizing and maintaining the Company’s HRIS, with a strong focus on increasing efficiency, automation, and data accuracy. This role collaborates closely with all departments to deliver high-quality, customer-focused HR services while ensuring adherence to Company policies and compliance with applicable federal, state, and local employment laws. The HR Generalist also supports general office and administrative functions to enhance the employee experience and overall HR operations.

Duties & Responsibilities

Recruitment & Talent Acquisition

Support recruitment and retention efforts for all departments.

  • Coordinate with third-party recruiting partners and assist with in-house recruitment as needed.
  • Prepare, post, and administer job announcements on appropriate platforms.
  • Review resumes, screen candidates, facilitate interviews, and assist hiring managers throughout the selection process.
  • Participate in career fairs, hiring events, and networking activities to support workforce development.
  • Conduct post-onboarding recruitment follow-up meetings with managers to review new hire progress and needs.

Pre-Onboarding, Onboarding & Post-Onboarding

Administer all pre-employment screenings including background checks, MVR checks, drug testing, and I-9 verification.

  • Coordinate and facilitate New Hire Orientation (NEO) to ensure a smooth onboarding experience.
  • Complete full onboarding and post-onboarding processes, including system setup, documentation, file completion, and follow-up.
  • Assist with maintaining accurate and current job descriptions to ensure compliance with company and operational needs.

HRIS / Paycom Administration

Update and maintain Paycom HRIS records, including new hires, benefits updates, and other employee data.

  • Run, audit, and maintain Paycom reports including ACA hours, headcount, terminations, onboarding status, garnishments, and compliance tracking.
  • Process and respond to Paycom ticket requests, ensuring timely resolution.
  • Collaborate with Payroll and IT to support improvements to Paycom workflows, automation, and data accuracy.
  • Maintain the HR page and support updates to the company intranet, ensuring HR resources, forms, policies, and communications remain current and accessible.

Benefits Administration & Compliance

Support benefits administration including enrollments, qualifying life events, and monthly changes.

  • Process benefits updates as needed.
  • Assist with annual Open Enrollment activities and communication.
  • Support ACA tracking, hours reporting, and compliance requirements.
  • Administer COBRA General Notices, COBRA terminations, and ensure timely follow-up and documentation.
  • Provide employees and supervisors with clear guidance regarding benefits, policies, and HR procedures.
  • Process and maintain garnishments and wage withholding notices.

Invoices, AP, Reporting & Audits

Process HR-related invoices, verify accuracy, and submit to Accounts Payable (AP) for timely payment.

  • Maintain invoice logs, approval routing, and vendor communication.
  • Prepare and maintain HR reports including headcount, recruitment metrics, ACA tracking, onboarding completion, HRIS audits, and others as needed.
  • Support audit requests, compliance reviews, and HR reporting needs for leadership.
  • Conduct and assist with 401(k) audits, internal and external HR compliance audits, and required annual surveys, ensuring accuracy and timely submission.

HR Operations & Administrative Support

Maintain accurate and compliant employee records in accordance with retention laws and company policies.

  • Provide general administrative support to HR leadership, employees, and managers.
  • Assist with employee engagement initiatives, surveys, and HR communications.
  • Support special HR projects, policy updates, and process improvement efforts.
  • Respond to employee questions, tickets, emails, and requests with excellent customer service.
  • Perform other HR-related duties and assignments as needed to support the HR Department and management.

Basic Qualifications

2+ years of Human Resources experience; HR Generalist or multi-functional HR experience preferred.

  • Strong experience with HRIS systems; Paycom experience strongly preferred.
  • Basic understanding of HR laws and regulations including FMLA, ADA, FLSA, ACA, COBRA, and state-specific requirements.
  • Excellent communication, customer service, and organization skills.
  • High attention to detail and ability to maintain confidentiality.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Clean Driving Record; must be approved by the company insurance.
  • Paycom a plus
