Position Description

The HR Generalist provides comprehensive administrative and operational support to the Human Resources function for a U.S.-based workforce. This role is heavily focused on benefits administration, billing reconciliation, employee data management, vendor coordination, compliance reporting, and HR process execution. The position ensures accuracy, regulatory compliance, and a high level of service to employees, managers, payroll, finance, and external benefit vendors. The ideal candidate is highly organized, analytical, customer-focused, detail-oriented, and comfortable managing multiple systems and deadlines. This role is expected to adhere to all company policies and safety protocols.

Key Competencies Required to be Successful as a Human Resources Generalist:

Benefits Administration (Primary Focus)

  • Complete monthly benefits billing and reconcile carrier invoices to HRIS and payroll records.
  • Update life and disability enrollments within carrier systems (e.g., Unum) to ensure accurate billing and coverage.
  • Process Evidence of Insurability (EOI) approvals and update HRIS accordingly.
  • Prepare and process FSA/LSA rollover reports and update employee balances.
  • Research and resolve payroll deduction discrepancies between payroll and benefits administration systems.
  • Submit benefits vendor invoices carriers and back up to Accounts Payable for processing.
  • Coordinate requests with Payroll for employee overpayments or underpayments.
  • Maintain accurate benefit enrollment data within HRIS and vendor platforms.
  • Partner with U.S.-based benefits brokers and vendors to resolve employee issues.
  • Assist with benefits audits, reconciliations, and compliance reporting.
  • Prepare benefits communications, guides, and employee-facing documentation.
  • Coordinate new hire benefits enrollment and annual open enrollment processes.
  • Maintain and coordinate the annual benefits communication calendar.

HR Business Partnering

  • Partners with internal customers and HR Business Partners to support the full U.S. employee lifecycle, including onboarding, offboarding, status changes, and job changes, ensuring seamless execution aligned with business needs.
  • Support HRBPs in maintaining and auditing employee records to ensure data accuracy, confidentiality, and compliance with federal and state regulations.
  • Provide administrative and compliance support to HRBPs for U.S. leave programs, including FMLA, ADA accommodations, and applicable state leave requirements.
  • Serve as an operational support resource for HRBPs by managing employee inquiries through the HR ticketing system (Fresh Service), resolving issues directly or escalating appropriately.
  • Assist HRBPs by providing troubleshooting support for employee access and login issues across HRIS and vendor platforms. Collaborate with HRBPs to maintain and update HR intranet content, ensuring policies, benefit documentation, and employee resources remain accurate and current.

Vendor & Systems Management

  • Review and correct vendor error files and eligibility discrepancies across HRIS, payroll, and carrier systems.
  • Research and resolve plan discrepancies between file feeds, HRIS records, and carrier enrollment systems (e.g., Blue Cross Blue Shield).
  • Update HRIS records to ensure accurate data feeds to carriers.
  • Grant and manage internal access to benefit vendor platforms.
  • Support HR projects and process improvement initiatives.

Compliance & Reporting

  • Partner with third-party compliance vendors (e.g., CMS/Outsolve) to prepare and submit required federal and state filings (monthly, quarterly, biannual, and annual).
  • Complete required CMS reporting on established deadlines.
  • Generate HR, payroll, and benefits reports on a weekly, quarterly, biannual, and annual basis as requested.
  • Maintain documentation to support audits and regulatory reporting requirements.

Education/Certification/Licenses

  • Bachelor's degree in Human Resources, Business Administration, or related field required.
  • 2–4 years of HR administrative experience with strong exposure to U.S. benefits administration and billing reconciliation.
  • Experience supporting a U.S. workforce from an international/shared services environment preferred.
  • Experience working with benefits vendors and compliance reporting processes.
  • Advanced English proficiency (written and verbal) required.
  • High attention to detail and strong organizational skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Comfortable working independently and managing multiple priorities.

Skills That Will Make You Successful

  • Experience with U.S. benefits vendors and brokers.
  • Understanding of HRIS systems (e.g., UKG) and benefits platforms.
  • Exposure to U.S. benefits administration and billing reconciliation.
  • Familiarity with U.S. employment concepts (FMLA, COBRA, HIPAA, ACA).
  • Advanced Excel or HR reporting experience.
  • Experience working in a fast-paced, multi-state U.S. environment.

Target Annual Base Compensation range for this exempt role is $75k - 85k. DOE and location.
