We are seeking a detail-oriented and proactive HR Generalist/Payroll Coordinator to support employees while maintaining high standards for compliance and operational excellence, and to oversee our payroll processes and ensure accurate compensation for our staff
The ideal candidate will possess strong technical skills in payroll management systems, accounting software, and human resources information. This role consists of maintaining compliance, processing payroll efficiently, and supporting staff to foster a positive employee experience
Job Description
- Manage full-cycle recruitment activities, including job postings, screening, interviews, offers, and onboarding
- Utilize social media, job boards, and other recruitment platforms to advertise job openings
- Provide job descriptions, policy information, and details on benefits and working conditions to current and prospective associates
- Serve as a first point of contact for employee relations matters; provide guidance to employees and managers in accordance with company policy and applicable laws
- Maintain and update HR policies, procedures, and documentation
- Conduct new associate orientations and foster a positive attitude toward organizational objectives
- Interpret and apply federal, state, and local employment & labor laws and regulations, including but not limited to ADA, FMLA, FLSA, and PFL for New York and New Jersey
- Maintain compliance with FMLA, OSHA, and other employment laws while providing guidance on HR policies
- Advise on organizational policy matters, such as equal employment opportunity, sexual harassment, and safety programs.
- Serve as a liaison between management and associates, assisting with work-related problems and policy interpretation.
- Maintain personnel-related records, including hires, transfers, performance appraisals, and absenteeism rates.
- Knowledge of conflict management techniques to resolve workplace disputes amicably
- Maintain and update HR policies, procedures, and documentation
- Handle investigations, unemployment claims, and exit interviews
- Collect weekly hours of field and office employees
- Leading and managing end-to-end payroll processing for all staff utilizing platforms and ensuring timely and accurate payments
- Review and approve time and attendance records, ensuring accurate pay calculation and alignment with company policies
- Monitor and ensure accurate payments for all employees, including annual bonuses and approved leaves of absence (STD, FMLA, Workers’ Compensation).
- Reconcile wages, taxes, and withholdings; support accurate W-2 reporting and year-end filings.
-Reconcile payroll data with accounting software and general ledger systems to maintain financial accuracy.
-Administer employee benefits programs and assist with benefits enrollment and updates
-Perform account reconciliation tasks related to payroll, taxes, and benefits to ensure compliance with federal and state regulations.
- Maintain detailed records of payroll transactions, journal entries, and tax filings while ensuring data entry accuracy
-Coordinate processing of new hires, terminations, and status changes affecting payroll
- Support audits by providing relevant payroll documentation and analysis of payroll reports
- Utilize technical accounting knowledge to handle complex payroll issues involving debits & credits, double entry bookkeeping, and governmental accounting standards
Requirements
- Knowledge of federal and state (NY/NJ) tax regulations related to payroll processing
- Excellent analysis skills for account reconciliation, journal entries, and financial reporting
- Proficiency in data entry with high accuracy and double entry bookkeeping techniques
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting while maintaining attention to detail
Qualifications
- 5+ years of HR/Payroll experience
- Strong knowledge of employment law and regulatory compliance.
- Excellent verbal and written communication skills, the ability to successfully interact at all levels of the organization, leadership and organizational skills.
- Ability to manage confidential information with professionalism and discretion.
- Ability to manage recruitment, employee relations, and benefits administration effectively
- Strong organizational skills and attention to detail for managing personnel records and reports
- Assist with audits, internal reviews, and special projects
- Maintaining precise payroll records and ensuring data integrity
- Maintain accurate records of employee benefits data
