Job Purpose
Supporting the effective operation, accuracy, and reliability of HR information systems to enable efficient HR processes and informed decision-making. The role ensures that employee data, system workflows, and HR reports are accurately maintained and aligned with approved HR policies, organizational structures, and Saudi labor regulations, while maintaining data confidentiality and system integrity across the organization.
Organizational Accountabilities:

Enabling HR strategy through reliable, compliant, and scalable HR systems

Acting as system owner for HRIS platforms and related integrations

Ensuring full compliance with Saudi Labor Law, GOSI, Mudad, Qiwa, WPS, and PDPL

Maintaining accurate organizational structures, job data, and salary frameworks

Supporting executive decision-making through high-quality HR data and analytics

Driving standardization, automation, and continuous improvement of HR processes
Functional Accountabilities:
HR Data Maintenance & Accuracy

Maintain accurate and up-to-date employee master data within the HR system
-
Perform regular data validations to ensure consistency across HR, payroll, and reporting modules
-
Correct data discrepancies and coordinate with relevant stakeholders when required
Organizational Structure & Job Data Support
-
Update and maintain organizational structures, positions, job titles, and reporting lines in HRIS
-
Ensure job and position data aligns with approved organizational charts and HR policies
-
Support updates related to promotions, transfers, and role changes
Payroll Data Support
-
Ensure accuracy of payroll-related data including salaries, allowances, deductions, and leave balances
-
Support payroll processing by validating HRIS data prior to payroll runs
-
Assist in resolving payroll discrepancies related to system data
-
Leave, Attendance & Workflow Administration
-
Maintain leave types, balances, and approval workflows in the HR system
-
Support attendance and time management system updates and integrations
-
Troubleshoot workflow issues related to approvals and system routing
Reporting & Operational Analytics
-
Generate standard HR reports such as headcount, turnover, leave utilization, and Saudization metrics
-
Support ad-hoc reporting requests from HR and management
-
Ensure accuracy and timeliness of HR system reports
-
User Support & System Troubleshooting
-
Provide day-to-day HRIS support to HR users and employees
-
Investigate and resolve system-related issues or escalate to IT/vendor when needed
-
Assist users with system navigation and basic functionality
System Testing & Change Support

Participate in testing of system enhancements, patches, and configuration changes
-
Support user acceptance testing (UAT) activities
-
Assist in implementing approved system changes and updates
-
Documentation & SOPs
-
Maintain HRIS-related SOPs, user guides, and process documentation
-
Document system issues, resolutions, and configuration changes
-
Ensure documentation is kept current and accessible
Compliance & Confidentiality

Ensure HR system usage complies with Saudi Labor Law and internal HR policies
-
Maintain confidentiality and security of employee data in line with PDPL requirements
-
Support system processing for employee onboarding, probation updates, confirmations, and terminations
-
Ensure accurate reflection of employment status, contract types, and effective dates in HRIS
-
Assist in managing employee documents and attachments within the HR system
Data Validation & Controls
-
Perform periodic data quality checks on key HR fields (job, grade, nationality, contract, cost center)
-
Identify root causes of data errors and support corrective actions
-
Support data reconciliation between HRIS, payroll, and finance systems
HR Workflow & Approval Support
-
Support configuration and maintenance of HR workflows and approval hierarchies
-
Monitor workflow performance and resolve routing or approval issues
-
Ensure system workflows reflect approved delegation of authority and organizational structure
System Transactions & Mass Updates
-
Execute system transactions related to employee changes (promotions, transfers, salary updates)
-
Support mass data uploads and system updates in coordination with HR and IT
-
Validate accuracy of uploaded data and post-implementation results
Government & Regulatory Data Support
-
Support preparation and validation of HR data required for GOSI, Qiwa, Mudad, and Absher
-
Ensure accuracy of employee data affecting Saudization and compliance reporting
-
Assist in resolving system-related discrepancies impacting regulatory submissions
-
User Access & Role Support
-
Support user access requests and role assignments in accordance with approved authorization matrix
-
Maintain records of system access and changes
-
Escalate access-related issues to HRIS or IT security when required
HR Reports & Dashboards Support
-
Maintain standard HRIS reports and assist in developing new operational reports
-
Validate report data accuracy prior to distribution
-
Support HR leadership with timely and accurate HR data
-
Issue Tracking & Vendor Coordination
-
Log, track, and follow up on HRIS issues and system defects
-
Coordinate with IT and system vendors for issue resolution
-
Assist in testing fixes and confirming system stability
Continuous Improvement Support

Identify opportunities to improve HRIS processes and system usability
-
Provide practical suggestions based on daily system usage
-
Support implementation of approved process enhancements
Audit & Compliance Support

Assist in providing HRIS data and system evidence for internal audits
-
Support follow-up on audit observations related to HR systems
-
Maintain proper documentation and system records for audit purposes
Knowledge and Experience
-
5–7 years of experience in HRIS, HR systems, or HR digital transformation
-
Experience in a large private-sector or healthcare organization in Saudi Arabia
-
Strong knowledge of Saudi labor regulations and HR compliance requirements
-
Hands-on experience with enterprise HRIS / ERP platforms (SAP, Oracle, Workday, Dynamics, etc.)
-
Experience supporting payroll, organizational design, and workforce analytics
Education and Certifications
Bachelor’s degree in Human Resources, Information Systems, Business Administration, or related field – (Required)
Master’s degree (MBA, HRM, MIS) – (preferred)
HRIS / ERP system certification – (SAP HCM, Oracle HCM, Workday)
Certified Human Resources Professional – (HRIS / Digital HR / SHRM / CIPD)- (Required)
Data analytics or HR analytics certification – (Required)
ITIL or project management certification – (preferred)
