JOB DESCRIPTION (JD) – LEGAL ASSISTANT

Job Title : Legal Assistant

Department : Legal & Secretarial

Reporting To : Legal Manager

Date : 02.12.2025

1. Job Purpose

To support the Legal Department in drafting, documentation, execution, compliance coordination, filing, and administrative legal functions, ensuring smooth and organised operations.

2. Key Responsibilities

A. Documentation & Filing

  • Maintain physical and digital files of all agreements, licenses, notices, corporate documents, and compliance papers.
  • Index and archive documents for easy retrieval.
  • Update Document Register, Agreement Tracker, and other legal logs.

B. Drafting Support

  • Fill in the party details in the prepared regular basic drafts
  • Provide first-level formatting and document preparation.

C. Coordination & Follow-Up

  • Coordinate with internal teams (HR, Sales, Ops, Finance, Admin) for required information.
  • Follow up for missing documents, approvals, and signatures.

D. KYC & Document Collection

  • Collect and verify KYC documents of clients.
  • Maintain updated KYC repository.

E. Execution of Agreements

  • Online and offline execution of finalised Agreements
  • Manage printing, stamping, signing, scanning, and storage of executed agreements.
  • Ensure signatures/initials on all pages.
  • Maintain executed agreement register.

F. Compliance Support

  • Assist in tracking deadlines, filings, and compliance calendars.
  • Prepare checklists & summaries for review.

H. Administrative Support

  • Handle scheduling, email organisation, meeting coordination, scanning, photocopying, and couriers related to legal matters.

3. Required Skills

  • Good understanding of English language and legal terminology would be added advantage.
  • Good communication skills (written & verbal).
  • Strong organisation and document-management skills.
  • Proficiency in MS Word, Excel, and PDF tools.
  • Attention to detail and ability to follow processes.
  • Keen on learning Law and Legal system.

4. Qualifications

  • Graduate in any stream (Law graduates preferred but not mandatory).
  • Freshers welcome; training will be provided.
  • Strong willingness to learn legal processes.

5. Work Style & Expectations

  • High discipline and accuracy in documentation.
  • Ability to maintain confidentiality.
  • Proactive follow-up and coordination.
  • Quick learner with willingness to support a busy legal department.

Job Types: Full-time, Permanent

Pay: ₹15,000.00 - ₹20,000.00 per month
