Position: Human Resources & Payroll Coordinator
In-office only position; located in the Coraopolis area of Pittsburgh

The HR & Payroll Coordinator supports day-to-day human resources, payroll, and benefits administration functions, ensuring accurate payroll processing, compliant benefit offerings, and responsive employee support. This role serves as a key point of contact for employees while maintaining confidentiality, professionalism, and attention to detail.

Essential Duties & Responsibilities:

Payroll Administration

  • Process weekly and bi-weekly payroll accurately and on time
  • Maintain employee pay records, deductions, garnishments, and benefits elections
  • Ensure compliance with federal, state, and local wage and hour laws, including Pennsylvania requirements
  • Reconcile payroll reports and resolve discrepancies
  • Coordinate payroll changes related to new hires, terminations, promotions, and leave
  • Serve as liaison with payroll vendor and internal finance teams

Human Resources Support

  • Maintain employee personnel files and HRIS records in compliance with record retention requirements
  • Support benefits administration, including enrollments, changes, and employee questions
  • Respond to employee inquiries regarding payroll, benefits, policies, and procedures
  • Assist with compliance reporting (e.g., I-9, E-Verify if applicable, workers’ compensation, unemployment claims)
  • Support employee relations initiatives and HR projects as assigned
  • Work in tandem with the HR Operations Manager and assist with onboarding and offboarding processes, including new hire paperwork and system entry, when needed

Compliance & Administration

  • Ensure adherence to employment laws and company policies
  • Assist with audits, reporting, and documentation requests
  • Support training coordination and internal communications
  • Maintain strict confidentiality of employee information at all times

What we're looking for:

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field (or equivalent experience)
  • 3+ years of experience in payroll processing, HR administration, and/or benefits coordination
  • Working knowledge of payroll, benefits administration, and HR compliance requirements
  • Proficiency with payroll systems, HRIS platforms, and Microsoft Office (Excel required)
  • Strong attention to detail, organization, and time management skills
  • Ability to handle sensitive information with discretion and professionalism

Preferred Qualifications:

  • Experience administering open enrollment and employee benefit programs
  • Familiarity with Pennsylvania employment and wage laws
  • Experience with multi-state payroll and benefits
  • HR or payroll certification (PHR, SHRM-CP, FPC, CPP) a plus
