Job Title: HR Recruitment & Administrative Assistant - Real Estate – Female Only

Position Overview:

We are seeking a dynamic and enthusiastic Receptionist and Administrative Assistant to join our real estate team. The ideal candidate will be a young and passionate individual who is committed to providing excellent administrative support to enhance the efficiency and productivity of our team. This role will involve handling various administrative tasks, assisting team members with administrative work, and ensuring smooth operations within the real estate office.

Key Responsibilities:

General Receptionist & Administrative Support:

Answering Phone Calls: Managing incoming calls, routing them to the appropriate individuals or departments, and taking messages as needed.

Managing Appointments: Scheduling and confirming appointments for clients, customers, or colleagues.

Administrative Tasks: Performing various administrative duties, such as filing, data entry, and maintaining office supplies.

Maintaining the office Area, Ensuring all places is clean, organized, and presentable.

Provide comprehensive administrative support to the real estate team, including managing phone calls, emails, and correspondence.

Maintain office filing systems, databases, and records accurately and efficiently.

Assist in organizing and scheduling appointments, meetings, and property viewings.

Documentation and Paperwork:

Prepare, proofread, and edit various documents, contracts, agreements, and other paperwork as required.

Ensure all documentation is accurately completed and filed in compliance with regulatory standards.

Client Interaction and Communication:

Act as a point of contact for clients, addressing inquiries, and providing exceptional customer service.

Assist in maintaining positive client relationships through effective communication and follow-up.

Marketing Support:

Assist in the creation and distribution of marketing materials, including property listings, brochures, and advertisements.

Coordinate and update online listings on real estate platforms and websites.

Team Collaboration:

Collaborate closely with real estate agents and other team members to support them with administrative tasks as needed.

Coordinate and communicate effectively within the team to ensure seamless workflow and operations.

Qualifications and Skills:

Bachelor's degree in Business Administration, Real Estate, or a related field preferred.

Previous experience in an administrative role, preferably in a real estate or property management environment.

Proficiency in MS Office Suite (Word, Excel, Outlook) and other relevant software.

Excellent organizational skills with the ability to prioritize tasks and manage time effectively.

Strong attention to detail and accuracy in data entry and documentation.

Exceptional communication skills, both verbal and written.

Ability to work independently and collaboratively in a fast-paced environment.

Passionate about real estate with a desire to learn and grow within the industry.

This is a full-time position office based in Dubai.
