HR Specialist - Contractor Management

Job Summary

The HR Specialist, Contractor Management is responsible for handling all HR-related activities concerning contractors and outsourced workers. This includes onboarding, monitoring, contract reviews, compliance, coordination with vendors, and ensuring all practices align with internal policies, contract terms, and labor laws.

Key Responsibilities

• Ensure proper onboarding of all contractors, including documentation, orientation, and access clearance.
• Maintain up-to-date records of contractor headcounts, assignments, and performance.
• Track and monitor contractor attendance, punctuality, and compliance with schedules.
• Coordinate with third-party manpower vendors and monitor their service compliance.
• Ensure contractor adherence to safety regulations, labor laws, and company policies.
• Handle contractor-related grievances, misconduct, or violations in coordination with legal/safety teams.
• Review and verify the terms and conditions in contracts signed with contractors or manpower providers.
• Process contract terminations, renewals, and offboarding in a timely manner.
• Prepare periodic reports on contractor KPIs, violations, and overall workforce status.
• Support internal and external audits related to contractor records and compliance.
• Liaise with internal departments to identify contractor needs and manage manpower supply accordingly.

Qualifications

• Bachelor's Degree in Human Resources, Business Administration, or a related field.
• 3-5 years of experience in contractor or vendor workforce management.
• Strong knowledge of labor law and contractor compliance.
• Experience in reviewing and interpreting contractor agreements.
• Strong analytical skills and attention to detail.
• Proficient in Microsoft Office and HR systems (SAP, Oracle, etc.).
• Strong coordination, documentation, and communication skills.
• Ability to work under pressure and manage multiple vendors simultaneously.

Working Conditions

• Office-based with occasional field/site visits.
• May require extended hours during project deadlines.
