Job description for the position of Admin Secretary cum HR
Secretary and Office Administrative Duties:
Secretary and Office Administrative Duties:
· Answering calls, taking messages and handling correspondence.
· Maintaining diaries and arranging appointments.
· Typing, preparing and collating reports.
· Scanning & Filing
· Organising and servicing meetings (producing agendas and taking minutes).
· Managing databases.
· Implementing new procedures and administrative systems.
· Liaising with relevant organisations and clients.
· Coordinating mail-shots and similar publicity tasks.
· Logging or processing bills or expenses.
· Acting as a receptionist and/or meeting and greeting clients.
· Preparing the project quotations invoices and follow- up for payment collection.
· Dealing with the clients, authorities, suppliers for any the company requirements.
· Supervising the office boy for the cleanliness of the company.
· Supervising the drivers and office boy for the cleanliness of the mangers and company cars as well monitoring the company car mileages.
Human Resources Duties:
· Assist with day to day operations of the HR functions and duties.
· Provide clerical and administrative.
· Compile and update employee records (hard and soft copies).
· Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.).
· Deal with employee requests regarding human resources issues, rules, and regulations.
· Assist in payroll preparation by providing relevant data (attendance, absences, bonus, leaves, etc.).
· Communicate with public services when necessary.
· Properly handle complaints and grievance procedures.
· Coordinate communication with candidates and schedule interviews.
· Conduct initial orientation to newly hired employees.
· Assist our recruiters to source candidates and update our database.
· Follow up with the employees for them weekly time sheet.
· Shortlisting the appropriate CV`S for the requested job profile.
· Get job description and job application for the new candidates filled and signed before technical interview.
· Reporting to the managers if there any unusual practice happing and company or any miss using of company properties by the staff.
Job Types: Full-time, Permanent
Nationality: Philippines
Annual Vacation: One month paid vacation after 12th month for the first year and after 11 month for the next years.
Day Off: Saturday and Sunday
Experience: 4-6 years
