Human Resources Administrator

Position Summary

The Human Resources Administrator provides vital administrative support to the HR department, ensuring accurate recordkeeping, efficient recruiting coordination, and smooth onboarding processes. This role is highly detail-oriented, confidential, and service-focused, supporting both employees and managers while helping maintain organized and compliant HR operations. This position also offers the opportunity for growth and advancement within the HR function as skills develop and responsibilities expand.

Key Responsibilities

  • Maintain and update employee personnel files, ensuring accuracy, confidentiality, and compliance.
  • Process HR paperwork including new hire forms, employee changes, and separation documents.
  • Provide clerical support for HR processes such as scanning, filing, scheduling, and document preparation.
  • Support data entry and recordkeeping in HR systems, spreadsheets, and databases.
  • Assist with posting job openings across platforms and tracking applicant activity.
  • Screen resumes and route qualified candidates to hiring managers.
  • Schedule candidate interviews and support communication throughout the hiring process.
  • Assist with reference checks and pre-employment steps.
  • Prepare onboarding packets, schedule orientations, and ensure all new hire paperwork is completed.
  • Provide basic clerical support for benefits enrollment and updates.
  • Assist employees with routine questions about HR forms, policies, and procedures.
  • Support HR staff in maintaining FMLA, worker’s compensation, and other leave-related files.
  • Assist with safety documentation, training recordkeeping, and compliance tracking.
  • Administer and support the company training program, including scheduling, tracking, and maintaining training documentation.

Qualifications

  • Associate’s degree in Human Resources, Business Administration, or related field preferred; equivalent experience considered.
  • 1–2 years of administrative experience; HR experience a plus.
  • Strong organizational skills with high attention to detail.
  • Excellent communication and customer service skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams).
  • Ability to multitask and manage deadlines in a fast-paced environment.
