The Skoll Foundation is hiring an HR Administrator based in Washington, DC. The HR Administrator is eligible for a hybrid work schedule including three days in the Washington, DC office.
The HR Administrator provides essential support to human resources team members including providing coordinated support for recruitment activities including interview scheduling, onboarding, and offboarding. In addition to these responsibilities, this role encompasses core HR administrative tasks.
Duties

Provide high-level, discreet human resources support, including proactive meeting and interview scheduling, posting job advertisements, providing organization for critical HR files and documents, and serving as a positive and engaged member of the human resources team.

Act as the primary administrator for human resources office, managing sensitive communications and confidential information with professionalism and sound judgment.

Manage overall workflow and information flow for human resources and recruiting activities, including oversight of shared inboxes, document organization, and general administration for the Washington, DC office.

Plan and lead human resources experiences semi-annually, coordinating agendas, event logistics, stakeholder communications, and post-event feedback.

Organize and facilitate Spot Bonus Committee meetings, including agenda development, note-taking, and tracking follow-ups.

In collaboration with operations, coordinate weekly office lunches, All-Staff meetings, and team-building events to foster a collaborative, inclusive culture.

Maintain and enhance human resources intranet pages, partnering with IT to ensure adherence to standards and building out content areas.

Manage and track invoice processing for vendors, ensuring timely approvals, accurate coding, and budget alignment.
Human Resources Administrator Duties

Support operations with onboarding and offboarding of full-time and temporary staff, coordinating with HR, IT, and Facilities to ensure a smooth employee experience.

Manage the hiring, onboarding, and oversight of temporary staff, including timecards.

Manage high-volume recruitment campaigns and coordination of hiring activities, including proactive calendar holds, interview scheduling, and candidate communications.

In collaboration with human resources and finance teams, manage biweekly payroll processing, including batch payroll entry, timecard reconciliation, and issue resolution using ADP TotalSource.

Maintain and update human resources and payroll records throughout the employee lifecycle including new hires, changes, terminations, leave tracking, and compensation adjustments.

In collaboration with human resources leadership, conduct regular reviews of budget-to-actuals, identifying discrepancies and working with Finance to ensure departmental budget compliance.

Process and track invoices related T&C related expenses, including, but not limited to consultants, and services, ensuring alignment with contracts and timely payment of invoicing.

Manage and facilitate team initiatives related to workplace wellness, including planning activities, promoting participation, and aligning with organizational values around employee well-being.

Provide travel coordination support for human resource team members attending conferences, events, and offsite meetings, ensuring all arrangements are efficiently handled.

Coordinate annual benefits open enrollment, including scheduling and logistics in collaboration with ADP TotalSource.

Facilitate Learning & Development efforts by organizing internal sessions, promoting participation, and driving engagement with platforms such as DDI and Harvard Business School Online.

In collaboration with accountable human resources team member, coordinate vendor contract reviews and renewals.

Assist with organization-wide compliance training and safety initiatives, ensuring completion and adherence to policies.
Qualifications

Minimum of five years of demonstrated experience providing administrative support in a human resources specialist, administrator, or coordinator role.

Ability to work on-site in Washington, DC three or more days per week within a reasonable commuting distance to the office.

A strong track record of maintaining confidentiality, personal ethics, and integrity with demonstrated abilities handling, capturing, and accurately filing human resources data.

Exceptional proactive communication, organizational, prioritization, scheduling, planning, and coordination skills.

Experience with ADP Work Force Now desired; Payroll processing experience generating reports and creating customized worksheets a plus.

Ability to serve as a back-up processor for payroll, including a high level of attention to detail and team collaboration skills.

Prior familiarity with HR vendors and systems including but not limited to CultureAmp, Bonusly, and PayScale/PayFactors helpful.

Intermediate to advanced proficiency in MS Word, Outlook, Excel, PowerPoint.

Proficiency in problem-solving, taking initiative, and improving organization.

Salary Range
$108,571 - $152,145
