Duties and Responsibilities
- Handle employment advertising, job applications, interviews, and reference checks.
- Provide orientation for new employees and those with status changes.
- Enroll, update, and terminate personnel records, payroll information, and system access.
- Explain benefits packages and administer applications, plan changes, and terminations.
- Prepare and manage employee timesheets and calculate work hours.
- Manage employee vacation and holiday balances.
- Prepare and distribute paycheck stubs and W-2 forms.
- Administer FMLA and workers’ compensation processes.
- Update the organizational chart, personnel changes, and job descriptions.
- Prepare, record, and file employee evaluations.
- Process work visas and assist with the transition of employees from Japan.
- Provide personnel counseling and assist in resolving labor issues.
- File and store corporate documents and contracts securely.
- Prepare and update logs, reports, charts, and personnel records.
- Manage company vehicles, gas cards, vehicle logs, and related records.
- Manage and assign employee lockers and keys.
- Check the post office box and distribute mail accordingly.
- Manage license and certificate deadlines for employees and suppliers.
- Renew corporate documents, including annual reports, meeting minutes, DS-156, patents, etc.
- Renew corporate licenses and permits (e.g., business license, establishment, sanitary permits).
- Renew business-related contracts (e.g., insurance, copier lease, phone/internet, facility lease).
- Ensure compliance with employee guidelines, regulations, and company policies.
- Communicate and distribute company announcements and memorandums.
- Procure and manage office supplies, business cards, uniforms, name tags, etc.
- Handle employee complaints and report or escalate them in a timely and appropriate manner.
- Handle arbitration, labor disputes, and legal claims.
- Attend meetings and training sessions to stay updated on job-related knowledge.
- Provide general administrative support and perform other duties as assigned by superiors.
