Job Overview
The Human Resources & Administrative Operations Manager is responsible for overseeing employee relations, human resources administration and day-to-day supervision of administrative staff to ensure a consistent, well supported, and efficient work environment across the firm.
This role focuses on supporting employees, managing HR processes, and ensuring administrative teams operate effectively. The position works closely with the Director of Operations to implement processes, maintain consistency across departments, and support initiatives that improve staff experience and operational efficiency.
Qualifications
- Bachelor’s Degree in Human Resources, Business Administration, Legal Administration, or a related field.
- HR certification (PHR or SHRM-CP) preferred but not required.
- Minimum 5 years of experience in human resources, legal administration, or professional services operations.
- Experience working with administrative or support staff in a law firm or professional services environment preferred.
- Working knowledge of employment regulations, HR compliance requirements, and benefits administration.
- Demonstrated ability to analyze workflows, document procedures, and implement process improvements to improve efficiency and consistency.
- Technically proficient with experience identifying opportunities to automate or streamline administrative processes using software tools or technology solutions.
- Strong interpersonal, organizational, and communication skills.
- Ability to manage multiple responsibilities and respond to day-to-day operational needs.
- High level of discretion and ability to handle confidential information.
Key Responsibilities
Employee Relations & Human Resources Administration
- Serve as the primary point of contact for employee relations matters, including day-to-day questions, concerns, and issue resolution.
- Support managers and staff with performance management processes, feedback conversations, and employee development.
- Manage core HR administration including hiring coordination, performance evaluations, compensation processes, and policy implementation.
- Ensure consistent application and enforcement of firm policies and procedures across all administrative staff.
- Maintain and update the Employee Policy Manual and communicate policy updates clearly.
- Administer employee benefits including open enrollment, insurance updates, and retirement plan transactions.
- Ensure compliance with federal, state, and local employment regulations including EEO-1, ERISA, ACA, FMLA, COBRA, and unemployment claims.
- Manage employee separations including voluntary and involuntary terminations and related documentation.
- Support employee engagement initiatives in collaboration with the Marketing Manager and Director of Operations, including employee surveys, recognition programs, and feedback tracking; assist with coordination and follow-through on engagement-related activities.
Recruitment & Onboarding
- Coordinate recruitment activities for staff positions including job postings, resume screening, interview scheduling, background checks, and hiring logistics.
- Manage onboarding processes including coordination of IT setup, workspace preparation, benefits enrollment, and orientation.
- Work with the Director of Operations to coordinate administrative staff assignments and ensure appropriate support coverage.
- Track recruitment and retention metrics.
- Coordinate attorney onboarding logistics including credential verification, State Bar registration, ICLE setup, and system access.
Administrative Staff Management
- Provide direct supervision, guidance, and day-to-day support to Legal Secretaries, Clerks, and administrative staff.
- Monitor workload distribution and assist with resolving staffing and support issues.
- Ensure administrative teams follow consistent procedures and service standards.
- Support training and development of administrative staff.
- Address and respond to routine staff questions and operational issues.
Administrative Operations Support
- Assist the Director of Operations in implementing administrative processes and operational improvements.
- Help document workflows and maintain standard operating procedures (SOPs) across administrative departments.
- Work with staff to identify workflow challenges and support practical improvements.
- Track progress of administrative initiatives and ensure follow-through.
Benefits & Administrative Financial Support
- Assist the Director of Operations with administrative aspects of HR and benefits-related budgeting.
- Coordinate logistics related to retirement plan administration including audits, compliance reporting, and employee transactions.
- Attend meetings with benefits providers and retirement plan advisors as needed.
- Coordinate employee communications related to benefits and retirement programs.
Firm Administrative Support
- Participate in weekly operations meetings and support follow-up items related to HR and administrative functions.
- Assist with administrative preparation and follow-up for internal meetings as requested.
- Maintain firm directories, email distribution lists, and system access for personnel changes.
- Support administrative aspects of staff transitions and internal updates.
Pay: $70,000.00 - $85,000.00 per year
