Job Description:
PRIMARY FUNCTION:
The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s Human Resource department.
JOB DUTIES AND RESPONSIBILITIES:
Provide administrative support to the Human Resources department.
Respond to common employee and applicant questions regarding policies, benefits, and hiring processes; refer complex inquiries to appropriate HR staff.
Assist with all aspects of event planning and execution, including logistics (materials, space, vendors) and drafting employee communications (expectations, registration, event details).
Support Human Resources communications and projects.
Assist the Recruiting and Total Rewards teams with New Hire Orientation.
Prepare and process documents, including copies, faxes, and forms.
Receive and distribute incoming HR mail and faxes.
Verify employment for current and former employees.
Reconcile monthly expenses for HR leader purchase cards.
Process departmental invoices.
Maintain the integrity and confidentiality of HR files.
Conduct periodic audits of HR records to ensure required documents are collected.
Schedule maintenance for departmental equipment.
Maintain and order necessary HR supplies.
Support Community Engagement initiatives and projects.
Coordinate and support leadership program (CLEO) communications and scheduling.
Manage intranet content to ensure updates are timely and accurate.
Collaborate with external vendor partners on HR-related projects and initiatives.
Provide technical and communications support in SharePoint and Microsoft Teams.
Perform other duties as assigned.
Ensure compliance with all VACU published policies and procedures.
JOB QUALIFICATIONS:
Education and Experience:
High school education or equivalent.
Some college level course work in business, human resource management or a related field preferred.
Significant related experience with years of increasingly responsible technical or administrative or project management experience may substitute for education.
Prior related office experience preferred.
Skills and Abilities:
Excellent verbal and written communication skills.
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
Demonstrated ability to take initiative and work independently in a fast – paced, dynamic environment.
Self-starter with a proven record of managing priorities and delivering results under pressure.
Excellent organizational skills.
Proficient with or the ability to quickly learn Microsoft Office Suite or related software.
Proficient with or the ability to quickly learn human resource information system and similar computer applications or technology.
PHYSICAL REQUIREMENTS:
This job requires the ability to sit and stand for long periods of time
This job requires infrequent lifting or carrying of objects up to 10 pounds.
Hybrid work schedule
Ability to travel as needed
