Human Resources Assistant

Job Summary
This position serves as a key point of contact for all employees and supports H-2A workers, ensuring compliance, organization, and effective communication across departments.

Key Responsibilities

Human Resources Support

  • Serve as a first point of contact for employees and direct inquiries appropriately
  • Assist with employee relations by filtering concerns and escalating when needed
  • Track and communicate employee benefits
  • Assist with unemployment claims, open enrollment, and internal audits/visits
  • Maintain and organize employee records (filing/scanning documents)
  • Assist with L&I (workers’ compensation) claims, documentation, and follow-up
  • Assist with disciplinary actions when required
  • Support continuous improvement of HR processes and systems

Hiring & Onboarding

  • Assist with recruitment process
  • Help coordinate orientation logistics (schedule, location, communication)
  • Prepare materials, paperwork, and electronic systems for onboarding
  • Assist in completing new hire documentation
  • Coordinate with external partners (e.g., banks for direct deposit setup)

H-2A Program Support

  • Assist as a point of contact for H-2A workers
  • Support onboarding, orientation, and training for H-2A employees
  • Help ensure consistent implementation and compliance of the H-2A program
  • Educate workers on housing rules, safety practices, and company policies
  • Assist in investigating policy violations related to the H-2A program
  • Assist in preparing housing units prior to worker arrival
  • Help assign housing and maintain accurate housing records
  • Support compliance with housing regulations and posting requirements
  • Assist with inspections and documentation
  • Report maintenance or compliance issues as needed
  • Assist with scheduling Social Security appointments
  • Assist with medical visits for H-2A workers
  • Administer and manage the parking permit program for H-2A workers
  • Sort and distribute mail

Transportation & Driver Support

  • Assist with assigning and tracking van drivers
  • Help maintain driver documentation and training records
  • Support scheduling of required driver medical exams (WH-515)
  • Report vehicle maintenance needs

Compliance & Inspections

  • Assist in preparing & coordinating Department of Health (DOH) housing inspections
  • Assist in preparing & coordinating Employment Security Department (ESD) field visits
  • Ensure documentation and communication are completed

Safety

  • Participate in monthly safety meetings
  • Review and translate accident reports (English/Spanish)
  • Order and maintain workplace postings and bulletin boards

General Duties

  • Run errands and provide administrative support as needed

Qualifications

Required

  • High school diploma or GED
  • At least 1 year of experience handling L&I (workers’ compensation) claims
  • 1+ years of experience in Human Resources or similar administrative role
  • Bilingual in English and Spanish (required)
  • Valid driver’s license (required)
  • Strong computer skills
  • Excellent communication, writing and listening skills
  • High attention to detail
  • Self-motivated with strong problem-solving abilities

Preferred Skills

  • Associate’s degree or similar in business administration or related field
  • Knowledge of H-2A program regulations and compliance
  • Ability to read, interpret, and analyze detailed regulatory documents
  • Experience in Human Resources, agriculture, or workforce housing

Training Requirements

  • H-2A Program training
  • HR and compliance-related training
  • WPS Train-the-Trainer and Safety training
  • First Aid/CPR certification
  • Ongoing software and systems training

Work Environment

This position requires both office and fieldwork, including visits to orchards and worker housing sites. The role may involve travel and responding to employee or housing needs as they arise.

Pay: $23.00 - $27.00 per hour
