Summary: The Human Resources Assistant provides essential administrative support to the HR department, ensuring smooth HR operations through accurate record-keeping, scheduling, and clerical duties.
Essential duties and responsibilities:
Recruitment, Onboarding, and Offboarding:
- Prepare and register background checks for prospective employees as needed.
- Prepare employee ID badges.
- Request proximity cards from the maintenance department for new hires.
- Provide support in preparation for onboarding and offboarding processes, ensuring proper documentation and procedures are followed.
- Support the preparation of separation paperwork.
Record Keeping and Reporting:
- Maintain accurate, up-to-date, and confidential employee files and HR documentation.
- Conduct periodic audits of HR files to ensure proper documentation is filed and compliant with organizational policies and legal requirements.
- Organize, scan, and maintain both current and past employee records in accordance with retention policies.
- Help maintain the GCI HRIS system by updating employee data and troubleshooting as necessary.
Customer Service:
- Respond to frequently asked questions from applicants and employees regarding standard HR policies, and hiring processes.
- Assist employees in understanding HR policies and procedures and help maintain the employee handbook.
Other Responsibilities:
- Act as a backup for the HR Coordinator and receptionist as required.
- Participate in HR department meetings and other organizational meetings as requested.
- Provide translation services during meetings or virtual events, as needed.
- Perform other duties as assigned.

Required/Preferred:
- 3-5 years of administrative experience required or an Associate’s Degree in HR or a related field preferred.
- Bilingual in English/Spanish preferred.
- Excellent organizational skills are required.
- Familiarity with ATS, HRIS, or HRMS software is preferred
- Basic knowledge of labor laws is required.
- Strong communication and interpersonal skills are required.
- Strong Microsoft Office Suite skills including Word and Excel are required.
- The ability to maintain confidentiality is required.
- The ability to use applicable computer systems, printers, copy/scanner machines, and filing systems is required.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Prolonged periods of sitting at a desk.

The employee is required to stand, walk, use hands to handle or feel, and reach with hands and arms. This job requires the ability to occasionally lift office products and supplies, up to 20 pounds.
