We are looking for a highly organized and proactive HR & Administration Executive to join our team. The ideal candidate will have strong experience in HR operations, government documentation, compliance, and general administration across UAE and GCC regions.
Key Responsibilities
HR & Employee Management
- Handle employee employment visa processing (new, renewal, cancellation)
- Manage visit visas for UAE & KSA
- Maintain and update employee personnel records
- Prepare HR letters (Job Offer, Salary Certificates, Salary Transfer, Warning, Termination, etc.)
- Assist employees with grievance handling in coordination with Operations Managers
- Support staff bank account opening
- Provide HR and administrative support across departments
- Assist E-Commerce department during peak busy season
Government & Compliance
- Manage Trade License and Establishment Card renewals
- Maintain company legal documents (Trade License, Establishment Card, MOA, MOL, Owner documents)
- Coordinate attendance documentation for GCC (Oman & KSA)
- Liaise with auditors across UAE & GCC
Administration & Operations
- Handle Annual Maintenance Contracts (Cleaning, Civil Defence, Fire Alarm & Fire Fighting, HVAC, Pest Control, EMICOOL, ISTA)
- Coordinate with telecommunication providers (Du & Etisalat)
- Manage insurance policies (Medical, Vehicle, PAR, Marine – UAE & GCC)
- Oversee lease renewals for stores
- Ensure proper handling and custody of company stamps
- Maintain general office operations
- Centralized stationery procurement
- Support senior management as required

- Requirements
- Minimum 3–5 years of HR & Administration experience in UAE
- Strong knowledge of UAE labor laws and visa processes
- Experience handling GCC documentation is an advantage
- Excellent coordination and communication skills
- Highly organized with strong multitasking ability
- Proficient in MS Office
