Human Resources Coordinator/Office Manager

Job Summary
We are seeking a highly organized, detail-oriented, and service-focused Human Resources Coordinator/Office Manager to support the daily operations of our growing child placement and family services organization. This role serves as the central point of coordination for all human resources administration, employee records management, compliance documentation, and office operations.

The ideal candidate is proactive, professional, and thrives in a fast-paced, highly regulated environment. This individual will play a critical role in ensuring the organization maintains compliance with DFACS requirements, licensing standards, and internal operational processes while creating a positive and efficient employee experience.

This position reports directly to executive leadership and supports a team of approximately 20 employees.

Key Responsibilities

Human Resources Administration

  • Coordinate all onboarding and offboarding activities for employees
  • Prepare and maintain employee personnel files and HR documentation
  • Ensure all employee records are current, complete, and audit-ready
  • Track and manage required licenses, certifications, trainings, and compliance documentation
  • Administer employee benefits, including health insurance enrollment and changes
  • Serve as liaison with insurance brokers and benefit providers
  • Support employee relations and respond to routine HR inquiries
  • Maintain confidentiality of employee information and sensitive records
  • Assist leadership with policy implementation and HR process improvements
  • Coordinate background checks, drug screenings, and employment verifications
  • Support performance review administration and employee engagement initiatives

Compliance & Regulatory Support

  • Ensure employee files and organizational documentation meet DFACS and licensing requirements
  • Prepare files and records for internal reviews, audits, and state inspections
  • Monitor compliance deadlines and maintain tracking systems
  • Support corrective action documentation and compliance reporting as needed
  • Maintain organized digital and physical filing systems

Office Management & Operations

  • Oversee daily office operations and administrative functions
  • Manage office supplies, vendor coordination, and facility needs
  • Coordinate scheduling, meeting logistics, and office communications
  • Support leadership with administrative tasks and operational coordination
  • Maintain an organized, professional, and welcoming office environment
  • Assist with special projects, organizational events, and team meetings
  • Help improve office processes and operational efficiency

Volunteer Coordination

  • Coordinate volunteer onboarding, orientation, and documentation processes
  • Maintain volunteer files and ensure all required background checks, training records, and compliance documentation are current and audit-ready
  • Track volunteer hours, assignments, and participation records
  • Serve as the primary point of contact for volunteer communication and scheduling
  • Ensure volunteers comply with organizational policies, confidentiality requirements, and DFACS-related standards
  • Assist with planning volunteer appreciation and engagement activities
  • Maintain organized records to support audits, reporting requirements, and program needs

Qualifications

  • Bachelor’s degree preferred in Human Resources, Business Administration, or related field
  • Minimum of 3–5 years of HR administration and/or office management experience
  • Experience working in a highly regulated environment preferred
  • Knowledge of HR best practices and employment administration processes
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Excellent written and verbal communication skills
  • High level of professionalism and confidentiality
  • Proficiency in Microsoft Office Suite and HR information systems
  • Experience with compliance tracking and audit preparation strongly preferred

Preferred Experience

  • Experience working with nonprofit organizations, social services, healthcare, or child welfare agencies
  • Familiarity with DFACS, foster care licensing, or state regulatory environments
  • Experience supporting small organizations with broad operational responsibilities

Pay: $60,000.00 - $65,000.00 per year
