Position Summary

MedStreamline is seeking a fully remote Human Resources Generalist to support core HR operations across a multi-state workforce. This role focuses on recruiting, onboarding execution, payroll processing, HRIS administration, compliance documentation, employee support, and more.

Reporting to the Director of HR and collaborating closely with the HR Coordinator, the HR Generalist helps ensure HR processes are accurate, compliant, and scalable in a remote, fast-growing, healthcare technology environment.

Key Responsibilities

Recruiting & Onboarding

  • Manage full-cycle recruiting for corporate roles, including IT, Logistics, Medical Billing, Sales, and Account Management. Other departments/roles as needed.
  • Post open positions, source candidates, conduct initial screening, and coordinate interviews
  • Ensure applicant tracking systems and sheets are updated and accurate
  • Prepare offer letters and complete pre-employment requirements
  • Execute onboarding for new employees, including I-9 verification and new hire reporting
  • Assign required documents and training modules during onboarding
  • Conduct corporate new hire orientation; provide backup support for clinical recruiting and orientations as needed

Payroll Processing

  • Process bi-weekly payroll for all employees (currently Paychex)
  • Maintain payroll accuracy, employee profiles, and audit-ready records
  • Coordinate payroll changes related to new hires, terminations, benefits, and reimbursements
  • Set up new state tax IDs within Paychex
  • Partner with the Director of HR and Paychex payroll support as needed
  • Maintain payroll reports and support year-end payroll activities

Compliance & Documentation

  • Collect, maintain, and audit required employee documentation
  • Ensure employee files are complete, accurate, and audit-ready
  • Track expirations and follow up on missing or updated documentation
  • Support internal compliance reviews and corrective action documentation
  • Maintain data integrity within the HRIS

HR Operations & Employee Support

  • Maintain HRIS employee data, workflows, and organizational updates
  • Support benefits enrollment and year-round benefits administration
  • Respond to HR inbox and Messaging board inquiries related to employees
  • Prepare standard HR reports, including headcount, turnover, and recruiting metrics
  • Support performance review cycles, policy updates, and HR communications
  • Maintain confidentiality and handle sensitive employee information appropriately

Backup Support & Collaboration

  • Provide backup support to the HR Coordinator during CMA recruiting surges
  • Assist with credentialing coordination when needed through documentation collection and submission
  • Collaborate with hiring managers, IT, Logistics, Scheduling, and other departments to support onboarding and access needs
  • Assist with Open Enrollment, employee communications, and company-wide HR initiatives
  • Participate in HR process improvement efforts and special projects as assigned
  • Other duties as assigned.

  • Google Workspace (Drive, Docs, Sheets, Forms)
  • Paychex (HR & Payroll)
  • Google Meet for daily virtual interviews and meetings
  • Slack messaging application (switching to MS Teams in the future)
  • Indeed job boards
  • Other Applicant Tracking Systems (ATS) as requested

Success in This Role Looks Like

  • Consistently meeting recruiting deadlines and delivering high-quality candidate pipelines.
  • Maintaining accurate, up-to-date HR records with minimal to no errors.
  • Demonstrating adaptability by shifting smoothly between multiple tasks.
  • Approaches challenges with a growth mindset and the determination to get things done.
  • Building positive relationships with candidates, employees, and hiring managers.
  • Bi-weekly payroll is processed accurately and on schedule, with minimal corrections and strong attention to compliance across multiple states.
  • Work effectively with the HR Coordinator to maintain continuity during high-volume periods, including recruiting surges and projects.
  • Working closely with the HR Director, taking direction effectively while demonstrating autonomy in managing assigned tasks.

Work Environment & Schedule

  • Fully remote position. You’ll need a reliable internet connection and a dedicated workspace.
  • Set schedule: Full-time, 8:30 a.m. – 5:30 p.m. Eastern Time, Monday through Friday. Candidates must live in Eastern or Central Time Zones.

Requirements

  • 3–5 years of HR experience, preferably in HR operations, recruiting, or payroll
  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • Experience running or supporting payroll; Paychex experience preferred
  • Experience supporting multi-state or distributed workforces
  • Strong understanding of HR operations and compliance requirements
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to work independently in a remote environment; prior remote experience preferred
  • Adaptability is a must
  • Ability to maintain strict confidentiality and handle sensitive employee information
  • Experience in healthcare or a fast-growing organization is a plus
  • aPHR or PHR certification preferred
