Job Summary
We are seeking an energetic and highly motivated generalist with knowledge in the Human Resources aspect and Safety Coordination and to be the welcoming face of our office. Duties
- Greet customers/vendors direct them appropriately, creating a positive first impression
- Manage multiple tasks at once and including answering the phone system with professionalism, and demonstrating excellent phone etiquette
- Handle incoming calls, screen inquiries, and route messages efficiently
- Maintain organized filing systems, including digital data entry and document proofreading
- Assist with taking weights for tractors inbound and outbound, to include cattle and commodities.
- Perform general clerical duties like photocopying, faxing, mailing, and maintaining office supplies
- Provide customer support by responding to inquiries promptly and courteously
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication
- Support personal assistant tasks as needed to ensure executive productivity
- Experience in Human Resources with background in handling employee relations.
- Assist with hiring, onboarding, and maintaining employee records
- Track employee hours, attendance, and time-off requests
- Support payroll preparation for ranch hands and staff
- Help communicate policies and expectations to employees
- Maintain confidentiality of employee information
- Promote safe animal handling practices and proper equipment use
- Coordinate, present and document safety meetings and trainings
- Maintain records of incidents, injuries, and near misses
- Conduct routine safety checks of pens, fencing, equipment, and work areas
- Ensure compliance with workplace safety regulations
- Assist in emergency response planning (animal injuries, equipment accidents, etc.)
- This role will require some travel time to other job sites
- Combination of office work and outdoor ranch environment
- Exposure to weather, livestock, dust, and farm equipment
- Occasional weekend or extended hours during busy seasons
Experience
- Proven office experience or clerical background with a strong emphasis on front desk operations
- Demonstrated proficiency in multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Experience with computer literacy including data entry, proofreading, and document management software such as Microsoft Office and Google Workspace
- Previous customer service experience that highlights professionalism and effective communication skills
- Knowledge of office management procedures including calendar management and filing systems
- 1–3 years of experience in administration, bookkeeping, HR, or agriculture preferred
- Basic understanding of livestock operations or willingness to learn
- Strong organizational and communication skills
- Ability to work independently and manage multiple tasks
- Proficiency with Microsoft Office or basic accounting software
