LOCATION: Hybrid (4 days in office – Pilsen*)

*Regular travel to other sites will be required

REPORTS TO: VP of Programs

JOB TYPE: Full-Time

FLSA STATUS: Exempt

PAY RANGE: $58,000 – $70,000

SCHEDULE: Standard office hours are 9:00 AM to 5:00 PM, Monday through Friday. This position requires occasional evening and weekend hours based on events, programmatic, and other scheduling needs.

Position Summary

The Human Resources Manager provides leadership and hands-on management of the organization’s human resources functions. This role ensures that HR systems, policies, and practices align with organizational goals, foster a positive and inclusive workplace culture, and support staff success. The HR Manager oversees the full employee lifecycle, benefits administration, employee relations, and compliance. The HR Manager is both a strategist and a doer – responsible for building efficient, compliant systems while also implementing them. This role requires creativity, problem-solving, and initiative to simplify processes, enhance staff experiences, and ensure compliance. The HR Manager serves as a trusted resource for staff and leadership, balancing independence with collaboration and knowing when to elevate matters to leadership for guidance. The HR Manager also partners cross-departmentally to strengthen organizational infrastructure and advance Mujeres Latinas en Acción’s mission.

Key Responsibilities:

Human Resources Leadership & Oversight:

  • Manage the full employee lifecycle, including recruitment, onboarding, benefits administration, performance management, and offboarding.
  • Ensure compliance with federal, state, and local labor and employment laws, HR policies, and organizational values.
  • Develop, implement, and update HR systems, policies, and procedures that promote equity, efficiency, and staff engagement.
  • Partner with supervisors on performance management, coaching, and professional development plans.
  • Provide guidance and support on employee relations, conflict resolution, and workplace culture initiatives.
  • Serve as primary administrator for HRIS (Paycom), ensuring accurate data entry, reporting, and utilization across HR processes.
  • Participate in organizational committees and initiatives to advance equity, inclusion, and employee well-being.
  • Represent HR in internal and external meetings as needed.

Benefits Administration:

  • Oversee employee benefits programs (health, dental, vision, life insurance, retirement plans), including enrollments, changes, and terminations.
  • Act as primary contact for employee benefits inquiries, assisting with eligibility, claims, and coverage.
  • Administer leave programs (FMLA, ADA, personal leave), ensuring compliance and accurate recordkeeping.
  • Reconcile benefits invoices and coordinate payroll deductions.
  • Lead annual open enrollment process, including staff communication, vendor coordination, and enrollment tracking.
  • Support employee wellness initiatives and benefits-related engagement activities.

Cross-Departmental Collaboration:

  • Partner with Finance to ensure accurate payroll and benefits integration.
  • Work with leadership on organizational development, workforce planning, and staff retention strategies.
  • Maintain compliance with reporting requirements (ACA, EEOC, OSHA, etc.).
  • Support risk management efforts related to employment practices, workplace safety, and confidentiality.

Risk Management & Compliance:

  • Ensure organizational compliance with employment, operational, and facilities-related legal and regulatory requirements.
  • Oversee risk management practices, including insurance coverage, security measures, and emergency preparedness planning.
  • Other duties as assigned

Qualifications & Skills

  • 5+ years of progressive HR experience, including benefits administration, employee relations, and compliance
  • Strong knowledge of labor and employment laws, HR best practices, and benefits administration, risk management, and compliance best practices
  • Demonstrated ability to manage multiple HR functions with accuracy and discretion
  • Self-motivated, creative, and resourceful with the ability to design and improve systems, tools, and processes that enhance efficiency while ensuring compliance
  • Comfortable working independently, taking initiative, and problem-solving while also knowing when to escalate issues for leadership input.
  • Strong interpersonal and communication skills, with a collaborative and solution-focused approach.
  • Experience with HRIS systems; Paycom experience preferred
  • Ability to handle sensitive information with professionalism and confidentiality
  • Excellent organizational and project management abilities
  • Strong interpersonal skills with a collaborative, solution-focused approach
  • Effective communicator with the ability to build trust across departments and with external partners
  • Familiarity with nonprofit organizations or mission-driven environments preferred
  • Bilingual (English/Spanish) required

Education & Certifications

  • Bachelor’s degree in Business Administration, Human Resources, Organizational Leadership, or related field required; Master’s degree preferred.
  • HR certification (e.g., SHRM-CP/SCP, PHR/SPHR) strongly preferred.
  • Facilities or operations management certification a plus.

Physical Requirements & Working Conditions

  • This position has a hybrid work schedule which includes weekly in office presence
  • Must be able to occasionally lift items weighing up to 20 lbs.
  • Travel to other Mujeres office locations, as needed
  • Flexibility to work evenings and weekends, as required
