La Jolla Music Society is one of the most prestigious and highly respected performing arts presenters in the United States. Our winter season presentations showcase a rich variety of classical, jazz, global roots, spoken word, family, and dance programming, at its state-of-the-art venue, The Conrad, as well as off-site venues throughout San Diego. In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.

Summary

The Human Resources Manager works cross-departmentally to support the personnel needs of the La Jolla Music Society at both The Conrad Prebys Performing Arts Center and the Community Music Center campuses. This position works with the Director of Finance to manage, support, and address personnel needs, occasionally working with the CEO & President for high priority tasks. This position directly oversees onboarding, offboarding, annual evaluations, policy creation, job descriptions, record keeping, assisting with benefits management, and other tasks as needed.

Job Description

FULL TEAM: Director of Finance, Controller, and Finance & Administrative Assistant.

Maintain accurate and up-to-date personnel records across all platforms.

Manage and initiate the annual employee review process.

File and manage all job descriptions; updating them as roles evolve or new positions are created.

Seek out and gather employee feedback on policies or processes to continually improve systems and address issues.

Stay up to date on labor laws and regulations, ensuring the organization remains in compliance.

Oversee the creation and maintenance of company policies, including the Workplace Violence Prevention Policy and its annual requirements.

Maintain records of all-staff trainings and schedule trainings for sexual harassment prevention, mandated reporter (CMC only), workplace violence prevention, cybersecurity, etc as needed to stay in compliance.

Be a resource to staff; answer policy questions, address concerns, and escalate conflict issues to the Director of Finance.

Manage the HRIS platform, Paychex; initiate onboarding and offboarding, manage employee access, assign roles, post open positions, assign paperwork, and communicate with Paychex representatives to resolve issues.

Benefits management: in conjunction with the full Finance team, oversee and assist with re-enrollment, scheduling, record keeping, onboarding and offboarding, etc.

Oversee the full hiring and onboarding process; create or revise job descriptions for posting, work with staff to schedule and conduct interviews, draft offer letters, orchestrate onboarding needs across departments, ensure appropriate supplies are available, complete legal paperwork, initiate and assist with first day/week trainings, etc.

Employee Handbook; review and update the handbook regularly, communicating new or updated policies to staff.

As requested by the CEO or Director of Finance, work with administration to address and resolve staff emergencies, impending issues, or potential risks to the organization.

Oversee the full offboarding process; conduct exit interviews, draft COBRA paperwork, close credentials, restrict account access, collect equipment, disperse final pay, close out benefits, etc.

Manage employee engagement: organize or assist with staff appreciation activities, note employee concerns and offer solutions to administration, etc.

Qualifications

2 to 3 years of experience in Human Resources or Personnel Management preferred.

Experience With Onboarding, Offboarding, And Hiring Processes Preferred.

Credentials or certifications in HR preferred (e.g. SHRM-CP/SCP, aPHR, PHR, etc.)

Related experience in areas such as customer service, performing arts, or nonprofit organizations, a bonus.

Experience with the HRIS platform, Paychex, preferred but not required.

Experience With Benefits Management Preferred.

Skills: professional communication, time management, organization, and high-level proficiency with Microsoft Office Suite.

Familiarity with local and federal labor law requirements.
