Position Overview
We are seeking a highly organized and execution-driven HR & Operations Specialist to support both recruiting and internal operations.
This role is ideal for someone who thrives in a fast-paced environment and enjoys building structure within a growing company.
Key Responsibilities - Recruiting & Talent Acquisition
- Manage full-cycle recruiting:
- Job postings (Indeed, LinkedIn, recruiters)
- Resume screening and initial interviews
- Interview coordination with hiring managers
- Offer preparation and onboarding
- Build talent pipelines, especially for Sales and Operations roles
- Improve hiring efficiency and candidate experience
HR Operations
- Maintain employee records and onboarding/offboarding processes
- Prepare and manage HR documents:
- Offer letters
- NDAs
- Basic employee handbook
- Track attendance, PTO, and employee status
- Support basic employee relations
Administrative & Internal Operations
- Manage employee expense reimbursement process
- Maintain and enforce travel and expense policies
- Track and organize receipts and expense records (Google Drive / Sheets)
- Manage company credit card usage and expense tracking
- Improve internal workflows and operational efficiency
- Support internal documentation and SOP development
Cross-functional Support
- Work closely with Sales, Purchasing, and Finance teams
- Coordinate with payroll providers and external HR consultants if needed
- Support implementation of internal systems (CRM, tracking tools, etc.)
Qualifications Required
- 2–5 years of experience in HR, Operations, or Administrative roles
- Strong recruiting experience preferred
- Highly organized and detail-oriented
- Strong execution and problem-solving skills
- Ability to work in a fast-paced, growing environment
Preferred
- Experience in small to mid-size companies or startup environments
- Familiarity with expense management and reimbursement processes
- Experience with Google Workspace and CRM systems
- Bilingual (English & Chinese) is a plus
Pay: $48,000.00 - $54,000.00 per year
