Position Summary
The Seasonal Human Resources Representative is responsible for managing all hiring,
onboarding, and employee support functions during the active event season. This role plays a
critical part in staffing operations by ensuring all departments are fully staffed, employees are
properly onboarded, and workforce needs are supported in real time throughout the season.
This position requires a hands-on, fast-paced approach to HR, supporting a high-volume,
seasonal workforce across multiple departments.
Essential Duties and Responsibilities
Full-Cycle Recruitment & Hiring
- Lead all seasonal hiring efforts across departments (Box Office, Food & Beverage,
Production, Operations, Facilities, etc.)
- Post job openings, screen candidates, and coordinate interviews with department
managers
- Conduct hiring decisions in collaboration with leadership
- Manage high-volume applicant tracking and communication
- Ensure all positions are filled prior to and throughout the season
Onboarding & New Hire Processing
- Coordinate and lead onboarding sessions for all new hires
- Prepare offer letters, employment agreements, and new hire paperwork
- Ensure completion of I-9s, W-4s, and all required employment documentation
- Enter employee data into payroll/HR systems (e.g., Paychex Flex)
- Educate employees on company policies, procedures, and expectations
Employee Support & Relations (In-Season)
- Serve as the primary HR contact for all seasonal employees
- Address employee questions, concerns, and workplace issues in real time
- Support managers with employee coaching, discipline, and conflict resolution
- Maintain a visible presence on-site during events to support staff
- Promote a positive and professional work environment
Workforce Coordination & Staffing Support
- Monitor staffing levels and adjust hiring based on operational needs
- Partner with department managers to ensure proper scheduling coverage
- Assist with call-offs, replacements, and last-minute staffing needs
- Track attendance trends and report concerns to management
Payroll & Timekeeping Coordination
- Ensure all employees are properly set up in payroll systems
- Support managers with timekeeping and approval processes
- Review timecards for accuracy and follow up on discrepancies
- Coordinate with finance/payroll to ensure timely and accurate pay
Compliance & HR Administration
- Ensure compliance with all federal, state, and local labor laws
- Maintain organized and accurate employee records (digital and physical)
- Enforce company policies consistently across departments
- Support any HR audits or documentation requests
