HR/Payroll Coordinator – Full Time

Starting Salary: $50,000 BOE

Arvin Post Acute is seeking a detail-oriented, organized, and customer-service–focused HR/Payroll Coordinator to support human resources, onboarding, employee relations, compliance, and payroll processes for the facility. This role is essential in ensuring accurate HR documentation, smooth onboarding, staff support, and timely payroll processing.

General Purpose

Assist the DSD/DON/Administrator in administering HR policies, implementing new-hire orientation, processing payroll, and supporting day-to-day HR and employee relations operations.

Key Responsibilities

Human Resources & Employee Support

  • Uphold strict confidentiality and demonstrate professionalism at all times

  • Assist with new employee orientation, including resident rights, infection control, safety, and facility policies

  • Support recruitment and onboarding, including screening candidates and scheduling interviews

  • Maintain knowledge of legal requirements and regulatory reporting related to HR

  • Prepare, update, and maintain employment records (hiring, transfers, promotions, terminations)

  • Administer employee benefits programs (health, dental, life, disability, leave programs, etc.)

  • Assist Risk Manager and HRBP with complex HR/WC cases

  • Maintain orientation and in-service attendance records

  • Assist with safety programs and employee health examinations

  • Assist with required fire and internal disaster drills

  • Respond to employee questions and requests professionally

  • Advertise open positions as requested

Payroll Processing

  • Process and audit all payroll transactions accurately and timely

  • Maintain payroll records, including changes in exemptions, insurance, deductions, job titles, and department transfers

  • Process and monitor garnishment orders and other special payroll requirements

  • Prepare and issue electronic transfers or payroll checks

  • Process manual checks and timely termination checks

  • Approve calculations for payroll liabilities (federal/state taxes, social security, unemployment, worker’s comp)

  • Monitor sick and vacation accrual balances

  • Complete employment verifications

  • Prepare payroll allocation reports for finance

  • Reconcile payroll before transmission; resolve discrepancies

  • Maintain confidentiality of payroll data

Administrative & Compliance

  • Prepare reports on HR-related topics as needed

  • Assist in recording and filing incidents/accidents per policy

  • Ensure unattended workstations are logged off

  • Participate in surveys and inspections

  • Maintain strong working relationships with all departments

  • Attend mandatory in-service programs and trainings

  • Other duties as assigned by DSD/DON/Administrator

Supervisory Responsibilities

  • May supervise an HR Assistant

Qualifications

Education & Experience

  • High school diploma or equivalent required

  • Two years of college preferred

  • Minimum 2 years of administrative experience, preferably in HR

  • Strong interpersonal and customer service skills required

Skills & Abilities

  • Ability to write reports, business correspondence, and procedures

  • Ability to interpret regulations, technical procedures, and policies

  • Strong mathematical skills (fractions, percentages, ratios)

  • Ability to solve practical problems and interpret written, oral, diagram, or schedule instructions

  • Must be proficient with office equipment and computer systems

Physical Demands

  • Ability to lift/move up to 25 lbs

  • Prolonged computer use

  • Frequent sitting, standing, walking, speaking, hearing, and reading

  • Use of office equipment including copier, fax, scanner, phone, calculator

  • May assist in evacuation during emergencies

  • Travel by car or air may be required

Work Environment

  • Noise level typically low to moderate

  • Regular interaction with staff, residents, families, and visitors

  • May encounter stressful or emotionally charged situations
