HVAC Dispatch & Logistics Coordinator

Job Summary
The Dispatch & Logistics Coordinator assists with scheduling and dispatching HVAC technicians, coordinating equipment and materials, and managing real-time schedule changes and emergencies. This role also supports billing by ensuring work orders are completed accurately, invoices are generated correctly, payments are recorded, and job documentation is properly closed out. The position serves as a key communication link between technicians, customers, and management while helping maximize productivity, on-time service, and ensuring billing is processed promptly and accurately. Responsibilities

  • Coordinate and schedule HVAC service calls, installations, and maintenance appointments using dispatch software.
  • Communicate effectively with field technicians, suppliers, and clients via multi-line phone systems while maintaining professional phone etiquette.
  • Utilize GPS for route optimization, tracking vehicle locations, and ensuring timely arrivals.
  • Monitor and review work orders and service tickets for completion and accuracy.
  • Assist leadership with billing responsibilities as needed.
  • Maintain accurate data entry records related to dispatch activities.
  • Exceptional communication skills
  • Ability to manage calls professionally while demonstrating excellent phone etiquette.
  • Proficiency in data entry with high accuracy.
  • Ability to prioritize tasks effectively in a fast-paced environment while maintaining attention to detail in logistics coordination.
