HVAC Dispatcher

Job Overview
We are seeking an experienced, proactive, and detail-oriented HVAC Dispatcher to coordinate and manage the scheduling, dispatching, and communication for HVAC service technicians and field personnel. In this vital role, you will ensure timely response to service requests, optimize routing efficiency using advanced transportation management systems, and maintain seamless communication across multiple channels. Your expertise in logistics, data entry, and dispatching will drive operational excellence, enhance customer satisfaction, and support the overall success of our HVAC service operations.

Duties

• Receive and prioritize incoming service requests via multi-line phone systems, email, and digital platforms
• Utilize GPS, GIS (Geographic Information Systems), and transportation management systems such as Oracle Transportation Management and SyteLine to plan optimal routes for HVAC technicians
• Dispatch technicians efficiently using transportation planning tools such as Service Titan software
• Track technician locations in real-time with GPS technology to provide accurate ETAs to customers and adjust schedules as needed
• Maintain detailed records of dispatch activities, job statuses, and communication logs.
• Communicate clearly with field teams, customers, and vendors using professional phone etiquette and effective communication skills
• Analyze operational data to identify opportunities for process improvements in transportation management and logistics workflows

Experience

• Proven experience in dispatching in HVAC
• Familiarity with Service Titan related software
• Excellent communication skills with the ability to handle multi-line phone systems professionally
• Proficiency in data entry with high accuracy using systems like Service Titan related software.
• Knowledge of logistics principles including transportation planning, management, and Technician coordination
• Ability to multitask effectively while maintaining attention to detail in a fast-paced environment
