HVAC Dispatcher (2+ yrs exp)

Job Summary
We are seeking a dynamic and detail-oriented HVAC Dispatcher with at least two years of experience to join our fast-paced team. In this vital role, you will coordinate and schedule HVAC service calls, dispatch technicians efficiently, and ensure timely response to customer needs. Your expertise in transportation management systems, logistics, and communication will drive operational excellence and customer satisfaction. Responsibilities

• Coordinate daily dispatch of HVAC technicians, ensuring optimal routing and scheduling based on priority, location, and technician availability.
• Utilize transportation management systems such as Oracle Transportation Management and GPS tools to track service vehicles and monitor progress in real-time.
• Communicate effectively with technicians, customers, and internal teams via multi-line phone systems, maintaining professional phone etiquette and clear communication.
• Enter data accurately into systems like SyteLine and AS400 for work orders, service logs, and inventory updates related to shipping & receiving processes.
• Manage freight logistics related to parts delivery and equipment transportation, ensuring timely arrivals and proper documentation.
• Analyze operational data to identify opportunities for process improvements in dispatching, fleet management, and supply chain efficiency.
• Maintain detailed records of all dispatch activities, including shift reports, incident logs, and service completion documentation.
• Support transportation planning efforts by coordinating with third-party logistics providers (3PL) and utilizing GIS or transportation planning tools for route optimization.

Qualifications

• Minimum of two years’ experience in HVAC dispatching or a related logistics role with a focus on transportation management systems.
• Strong proficiency with GPS tracking, GIS mapping tools, Oracle Transportation Management, SyteLine, AS400, and transportation planning software.
• Excellent communication skills with professional phone etiquette and the ability to handle multi-line phone systems efficiently.
• Demonstrated analysis skills to evaluate logistics data and improve dispatch operations.
• Knowledge of freight management, shipping & receiving procedures, fleet management practices, and supply chain fundamentals.
• Proficiency in data entry with high accuracy in systems such as Oracle Transportation Management or similar platforms.

Job Type: Full-time

Pay: $15.00 - $18.00 per hour
